Position Summary

The Business Office Manager is responsible for overseeing the financial and administrative operations of the nursing home. This role ensures accurate billing, resident accounts management, payroll processing, and compliance with regulatory and company policies. The Business Office Manager serves as a liaison between residents, families, vendors, and staff regarding financial matters while maintaining confidentiality and professionalism.

Key Responsibilities

Financial Management

  • Manage resident billing, trust accounts, collections, and refunds in compliance with facility policies and state/federal regulations.
  • Ensure timely and accurate submission of Medicaid, Medicare, and private insurance claims.
  • Process resident admissions, discharges, and related financial documentation.
  • Prepare monthly financial reports for the Administrator and corporate office.

Resident & Family Relations

  • Communicate with residents and families regarding billing inquiries, financial arrangements, and payment plans.
  • Provide assistance and guidance with Medicaid/Medicare applications and insurance questions.

Administrative Duties

  • Maintain organized and accurate business office files.
  • Oversee accounts payable and vendor relations.
  • Support the Administrator in daily operations, audits, and compliance reviews.
  • Train and supervise business office staff (if applicable).

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or Business preferred.
  • Minimum 3–5 years of business office or financial management experience, preferably in a healthcare or long-term care setting.
  • Knowledge of Medicare, Medicaid, and insurance billing regulations.
  • Proficiency in Microsoft Office Suite and healthcare billing software.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain confidentiality and manage sensitive information with professionalism.
