We are seeking a dedicated and experienced Front Office Supervisor to oversee the daily operations of our specialty private practice. This role is essential in ensuring that our medical office runs efficiently and effectively while providing exceptional patient care and optimizing the financial capture of patients and insurances. The ideal candidate will possess strong leadership skills, a background in healthcare management, and a thorough understanding of medical office procedures.
Duties
- Front Desk Supervisor will work as the Lead in Reception while supervising and coordinate the activities of secondary receptionist, ensuring optimal performance and adherence to policies.
- Coordinate with referring providers and incoming new patients for network status and insurance referrals prior to initial visit.
- Maintain and management patient accounts and communications with patients to ensure financial compliance.
- Oversee medical records management, ensuring compliance with regulations and maintaining confidentiality, while keeping electronic documentation.
- Oversee opening and closing practices.
- Reconcile payments and postings daily.
- Prepare deposits and make deposit at local bank.
- Collect and distribute daily mail appropriately.
- Verify insurance timely and coordinate with patients regarding co-pays, co-insurances, and other payments required for treatment, including any financial agreements.
- Collaborate with healthcare providers to ensure smooth operations within the practice.
- Ensure compliance with healthcare regulations and standards within the office.
- Train and mentor staff on best practices in patient care and office procedures.
- Utilize ECW software for efficient practice management.
Requirements
- Proven experience in a supervisory role within a medical office setting.
- Strong knowledge of healthcare management principles and practices and front desk processes.
- Familiarity with managed care processes, medical management protocols, insurance verifications, prior authorizations, and referrals.
- Experience in a pain management/orthopedic specialty is a plus.
- Proficient in managing medical records systems and maintaining accurate documentation.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong communication skills, both verbal and written, to interact professionally with patients and staff.
- Experience with eClinical Works is a plus.
Expected hours: 40 hours per week
Schedule:
- Monday - Thursday 8-5:30
- Friday-8:00-3:00
Work Location: In person
Job Type: Full-time
