Medical Call Center Representative

Position Summary:
The Pain Medicine Call Center Representative serves as a key member of the pain management care team, responsible for providing exceptional patient service and administrative support. This role involves managing inbound and outbound calls, scheduling appointments using eClinicalWorks (ECW), coordinating pre-operative and post-operative communications, and ensuring accurate and up-to-date patient health records. The ideal candidate has healthcare experience, strong communication skills, and proficiency in ECW scheduling systems.
Key Responsibilities:
- Handle high-volume inbound and outbound calls from patients, referring providers, and healthcare partners in a professional and empathetic manner.
- Schedule, reschedule, and confirm appointments and procedures within eClinicalWorks (ECW).
- Conduct pre-operative and post-operative phone calls to review instructions, gather updates, and ensure continuity of care.
- Perform patient outreach calls to update medical history, medications, allergies, and other health record information in ECW.
- Verify patient demographics, insurance coverage, and referral documentation prior to appointments.
- Coordinate with clinical and administrative staff to support patient flow and timely communication.
- Respond to patient inquiries regarding pain management services, procedures, and pre-visit preparation.
- Document all interactions, call notes, and follow-up tasks accurately in ECW.
- Maintain compliance with HIPAA and clinic policies to protect patient privacy and data integrity.
- Support quality improvement initiatives to enhance patient experience and clinic efficiency.
Qualifications:
- Experience: Minimum 1 year in a healthcare call center, front desk, or clinical support role (Pain Medicine or Specialty Care preferred).
- Technical Skills: Proficient in eClinicalWorks (ECW) scheduling and documentation; strong computer and EHR navigation skills.
- Education: High school diploma or equivalent required
- Knowledge: Understanding of medical terminology, scheduling procedures, ect.
- Soft Skills: Excellent verbal and written communication skills; ability to multitask, prioritize, and remain professional under pressure.
Preferred Qualifications:
- Previous experience in a Pain Management, Orthopedic, or Surgical specialty practice.
- Familiarity with pre- and post-operative patient communication protocols.
- Bilingual (English/Spanish or other) preferred.
