We are seeking a highly organized, proactive, and bilingual (English/Spanish) Office Manager to lead the day-to-day operations of our IV therapy and wellness supplement clinic. The ideal candidate will have previous experience working in a similar healthcare, wellness, or aesthetics environment and be passionate about providing exceptional client service while ensuring operational excellence. This role requires a confident leader with strong administrative, communication, and customer service skills.

Key Responsibilities: Operations & Administration

  • Oversee daily front and back office operations to ensure smooth clinic workflow.
  • Manage appointment scheduling, patient intake, billing, and inventory of IV supplies and supplements.
  • Ensure compliance with health and safety regulations, HIPAA, and clinic protocols.
  • Coordinate with medical staff, vendors, and service providers to maintain clinic functionality.
  • Maintain accurate patient records and manage patient portal
  • Monitor and manage inventory levels for supplements, IV supplies, and office materials.
  • Assist with office policies and procedures, metrics and overall goals/ kpis

Team Leadership & Customer Experience

  • Supervise and support front desk staff and medical assistants, ensuring a high level of professionalism and patient care.
  • Train and onboard new team members.
  • Handle patient concerns, scheduling conflicts, and feedback with professionalism and empathy.
  • Ensure an exceptional customer service experience from check-in to check-out.

Communication & Marketing Support

  • Communicate clearly with clients ensuring accessibility and understanding of services.
  • Assist in executing clinic promotions, social media updates, and patient education efforts as needed.
  • Coordinate patient outreach and follow-up for ongoing care and wellness plans.
  • Educate our clients on different services options for care

Qualifications:

  • Minimum 2-3 years of office management experience in a wellness, IV therapy, aesthetic medicine, or healthcare-related setting.
  • Bilingual in English and Spanish (verbal and written) – Required.
  • Strong leadership, organizational, and multitasking abilities.
  • Familiarity with IV therapy, nutritional supplements, or integrative wellness services.
  • Excellent customer service and communication skills.
  • Experience using medical scheduling
  • Ability to work independently and collaboratively in a fast-paced environment.
