Job Summary:
The Onboarding Coordinator ensures a smooth and compliant onboarding experience for new employees, interns, contractors, and volunteers. Reporting to the Senior Employee Relations Manager, this role manages pre-hire documentation, background checks, and New Employee Orientation (NEO) to ensure all requirements are completed accurately and on time. The coordinator partners with HR, hiring managers, and program leaders to prepare new hires and deliver a welcoming introduction to A New Leaf.
Responsibilities:
- Serve as the primary point of contact for candidates, new hires, and hiring managers to ensure a positive, well-communicated onboarding experience.
- Coordinate and manage the onboarding process from offer acceptance through transition to program, ensuring all pre-employment requirements and onboarding tasks are completed accurately and on time.
- Facilitate onboarding activities, including pre-hire screenings, daily NEO sessions, and agency introductions.
- Coordinate onboarding logistics such as presenter schedules, materials, and welcome packets.
- Prepare and distribute new hire welcome communications, orientation schedules, and onboarding resources.
- Maintain onboarding spaces to ensure they are presentable, stocked, and organized each day.
- Open and secure the HR training building daily, including disarming/arming alarms, locking doors, and securing the campus gate.
- Provide a professional hand-off to program managers upon completion of NEO.
- Coordinate and process all required pre-employment and onboarding documentation, including background checks, reference checks, I-9 verification, E-Verify, Central Registry checks, and other regulatory requirements.
- Track and manage required credentials such as Fingerprint Clearance Cards (FPCC), Food Handler Cards, and other role-specific certifications.
- Assign, monitor, and track required LMS training modules for NEO and ongoing compliance.
- Track and record required health screenings, TB tests, and other pre-hire medical requirements.
- Upload and maintain compliance documentation in Dayforce, ensuring accuracy, completeness, and audit readiness.
- Monitor expiring certifications, licenses, and work cards, and proactively notify staff and managers of renewal deadlines.
- Schedule, track, and document CPR/First Aid, Therapeutic Options (TO), and other compliance-related trainings, including refresher sessions.
- Conduct sanction checks and prepare compliance reports as required.
- Support internal and external audits by gathering and organizing onboarding and compliance documentation.
- Ensure accurate completion of onboarding forms and employee profiles in Dayforce prior to program start.
- Monitor HR, Onboarding and Compliance inboxes, triage inquiries, and route action items appropriately.
- Generate and distribute onboarding and compliance reports for leadership and program managers.
- Track onboarding progress and provide regular updates to managers, escalating issues as needed.
- Partner with IT to troubleshoot HRIS system access and resolve technical challenges for new hires.
- Facilitate or support compliance training sessions and present agency policies during NEO.
- Coordinate and track CPR/First Aid and safety training sessions, ensuring certification renewals are monitored and completed on time.
- Assist in planning and executing HR drills, including 911, fire, and disaster preparedness exercises.
- Collaborate with HR Generalists, Employee Relations Managers, and other HR staff to maintain compliance readiness and effective communication across programs.
- Identify opportunities to improve onboarding and compliance workflows, and recommend process enhancements to increase efficiency and scalability.
- Contribute to cross-training initiatives within the HR department and provide back-up support for phones, front desk coverage, and clerical functions as needed.
- Support compliance requirements for Specialized Transitional Units (STUs) and other specialized program needs.
- Perform other duties as assigned to support HR operations and organizational goals.
Qualifications:
Education:
- High School Diploma or GED required.
- Associate or Bachelor's degree in HR or related field preferred.
Experience:
- Minimum 1 year HR or administrative experience required; nonprofit or compliance experience preferred.
- Knowledge of HRIS, LMS, and electronic record systems preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Strong organizational, communication, and customer service skills; ability to maintain confidentiality.
- Experience facilitating or training groups preferred.
- Bilingual in Spanish preferred.
- Notary Public commission preferred; ability to obtain within 3 months of hire required.
Working Conditions/Physical Requirements:
- Primarily office-based work with occasional travel to internal meetings or training sessions.
- Ability to sit for extended periods while working on a computer.
- Occasional lifting of up to 25 lbs. for materials or office supplies.
- Exposure to typical office equipment, such as computers, phones, and printers.
- Ability to manage multiple tasks and administrative responsibilities simultaneously.
- Must be able to maintain confidentiality and professionalism in all internal and external interactions.

- Notary Public commission (or ability to obtain and maintain within 3 months of hire)
- Valid Unrestricted Driver's License
- Current Auto Liability Insurance
- 39 Month Motor Vehicle Record
- Adhere to all organizational policies, including the Code of Conduct, professional standards, and relevant regulations.
Mandated Reporter Requirements:
- As a mandated reporter under Arizona statute A.R.S. § , you are required to immediately report any suspected abuse or neglect of a minor to your Supervisor, Manager, Director, Clinical Director, or Chief Officer, who will assist in making the appropriate report to authorities.
- Reports should be directed to either the local law enforcement agency or child protective services SOS-CHILD). Abuse suspected of involving a family member or legal guardian should be reported to child protective services, while other cases should be reported to law enforcement.
