We seek a full-time Front Desk/Bookkeeper to join our hardworking, detail-orientated, energetic accounting team.

Bookkeeping Firm Services Offered:

  • Monthly financial statement preparation.(P&L/Balance Sheet)
  • Payroll processing, payroll government report, and compliance(941/940/TWC/W2/1099NEC).
  • Periodic tax payments/compliance (sales tax, franchise, estimated taxes)
  • Ongoing, higher-level services to review financial performance and provide input on strategies to improve business(Maintain- Assets/Liabilities).
  • Tax planning and tax strategies, Tax preparation for Entities and Individuals

Most of our clientele are small local businesses with revenues between $100K and $2M in sales who want and appreciate our help operating and improving their businesses. We accomplish our goals by leveraging all the capabilities technologies offer to make our firm more efficient and productive. We are looking for an experienced Front Desk/Bookkeeper who understands this type of business and performs the necessary tasks to help us run their business daily. This includes having the integrity and confidence to deal with your own section of clients, the willingness to help us provide outstanding customer service, overseeing and guiding bookkeepers, and being open to personal growth and assisting clients with business & financial growth.

We use Drake Software. Experience with Drake software is preferred. The ability to use QuickBooks Desktop Enterprise is required.

We do Unaudited Financial Statements and review them Monthly, Quarterly, and Yearly.

Job Duties Responsibilities:

Position Summary

Under general supervision, the Front Desk Bookkeeper performs a combination of administrative, clerical, and bookkeeping duties to support the daily operations of the firm. This role serves as the first point of contact for clients, ensuring exceptional customer service, while maintaining accurate financial records, processing payroll, and assisting with various accounting and tax functions.

Responsibilities & Duties

Front Desk & Administrative

  • Greet visitors, handle inquiries, and direct them to the appropriate staff member.
  • Answer incoming calls; assist callers or transfer them to the appropriate party.
  • Confirm, schedule, and coordinate client appointments.
  • Maintain visitor logs and ensure security procedures are followed.
  • Handle office payments for services and issue receipts.
  • Perform light housekeeping to maintain the front lobby, desk, and hallway areas.
  • Maintain office records, files, and data entry logs.
  • Support management with administrative tasks, document organization, and reporting.

Bookkeeping & Accounting

  • Record daily transactions accurately in QuickBooks Desktop Enterprise.
  • Manage bookkeeping for multiple clients (15+), including accounts payable and receivable.
  • Reconcile bank and credit card accounts monthly.
  • Prepare and process payroll (weekly/biweekly), payroll tax deposits, and reports.
  • Schedule and confirm EFTPS payments and employee liability payments.
  • Prepare and file W9s, 1099s, W4s, W2s, 940s, 941s, 944s, TWC reports, and sales tax reports.
  • Maintain and reconcile multiple general ledger accounts (10–15 accounts).
  • Perform adjusting journal entries, review P&L and balance sheet accuracy, and identify errors.
  • Prepare monthly, quarterly, and annual financial statements (unaudited).
  • Assist with tax preparation for individuals and small businesses, including scanning and organizing client documentation in Drake Software.
  • Process ITIN renewals and maintain compliance with all tax reporting requirements.

Client Service

  • Provide assistance to clients in person and over the phone regarding tax and bookkeeping issues.
  • Review documents and make updates as necessary to ensure accuracy.
  • Collect and record client payments; maintain daily records of receivables.
  • Communicate proactively with clients to ensure timely delivery of financial statements and reports.
  • Deliver an exceptional customer experience and uphold the firm's reputation for professionalism and quality.

Required Skills & Qualifications

  • Strong Front Desk Skills and Excellent Customer Service
  • Minimum 3-5 years of experience in bookkeeping or accounting
  • Proficiency in QuickBooks Desktop Enterprise (required).
  • Experience with Drake Software (preferred).
  • Intermediate to advanced Excel and MS Office skills.
  • Strong understanding of payroll processing, EFTPS, and government reporting.
  • Knowledge of depreciation, assets, loans, and amortization schedules.
  • Experience preparing and filing payroll, sales tax, franchise tax, and year-end reports.
  • Bilingual in English and Spanish required.
  • Detail-oriented, organized, and able to work under pressure during tax season.
  • Excellent communication and customer service skills.
  • Must demonstrate integrity, confidentiality, and professionalism.
