Implementation Project Coordinator

Denver, Colorado, United States Settlor Full time

The Opportunity

Settlor is a fast-growing software company focused on building innovative solutions for the Title and Escrow industry. We are looking for a high-energy, technically-minded Implementation Project Coordinator to lead our newest customers from "signed contract" to "live and thriving."

This isn't a "check-the-box" project coordination role; our company is looking for someone passionate about logistics, who enjoys providing intuitive, clear communications and loves "keeping the trains running on time". You will be the glue that keeps our customers, customer success teams and development resources on the same page and moving in the same direction. You will coordinate and lead meetings, manage schedules, track task completion, and ensure that no detail falls through the cracks as we onboard customers with anywhere between 50 and 1,000 users.

It is a high-growth position for someone organized and eager to break into PropTech; the opportunity to take on new responsibilities, to learn new skills, to move up into leadership positions is almost certain and likely to happen sooner rather than later. You will be on the ground floor of not only building implementation programs and processes, but also helping to build and grow our company.

What You'll Do

  • Own the Onboarding Lifecycle: Drive the end-to-end implementation process for customers transitioning from an existing enterprise application that runs their title insurance and escrow/settlement business.
  • Champion Change Management: Guide customers through the cultural and operational shifts that come with adopting new enterprise technology.
  • Scale the Process: As an early hire, you will help build our implementation playbooks, templates, and best practices.
  • Tactical Execution: Maintain project plans, ensuring all tasks are assigned and deadlines are clear to both internal teams and customers.
  • Meeting Facilitation: Schedule project kick-offs and weekly check-ins. Take detailed notes, track action items, and follow up with stakeholders to ensure completion.
  • Reporting: Assist the Customer Success Team in preparing weekly status reports for customers to show progress against key dates and milestones.
  • Documentation: Create and maintain "How-To" guides and implementation resources to help customers adopt the software successfully.
  • Mitigate Risk: Proactively identify "red flags" in the implementation process and develop creative solutions to keep projects on track.
  • Onboarding Support: Assist in the initial setup of customer accounts, including user permissions and basic data entry/validation.
  • Resource Coordination: Act as a liaison between the customer and our Technical Support or Product teams to resolve "quick fix" issues during the onboarding phase.

What You Bring

  • The "Startup Mindset": You are comfortable with ambiguity, thrive in a fast-paced environment, and are willing to wear multiple hats.
  • Project Rigor: You have mastery of PM techniques and methodologies and demonstrate persistence and diligence in pursuing objectives. You know how to manage a Gantt chart without losing sight of the human element.
  • Strategic Communication: You can command a room (or a Zoom call) of C-Suite stakeholders and keep them aligned on project milestones.
  • Love of Structure & Organization: Calendars, task management, Gantt charts and Kanban boards are your comfort zones. No such thing as "flying by the seat of your pants". Every meeting has a purpose, an agenda, deliverables and the appropriate stakeholders.
  • Collaborative Execution: You work effectively across functions, communicate openly, take feedback constructively, and contribute to a positive, accountable team culture, even under pressure.
  • Detail Discipline: You have a sharp eye for details, catch issues before they become problems, and maintain high standards of accuracy without losing sight of broader goals.
  • Team-oriented: You work well with others, take feedback constructively, and contribute to a positive team environment.
  • Technical Literacy: You don't need to code, but you should understand the Scrum methodology, software lifecycles, and code deployment processes.
  • Industry Context: Experience in Real Estate Tech (PropTech) or Mortgage and Real Estate Brokerage is highly preferred; experience in the Title Insurance & Escrow/Closing industry would be amazing.

Why Settlor?

  • Impact: Your work directly influences our customer's experience with our platform and our company and is foundational to our long-term growth and evolution.
  • Culture: A collaborative, "no-ego" environment where we celebrate wins and learn from losses.
  • Customer-Centric: We build for the long haul by prioritizing solutions to real-world challenges for our customers. Your work ensures we evolve in lockstep with our users' needs to create a product they truly love and trust.
  • Growth: Rapid career progression as we scale our customer base and our company.
  • Self-funded and privately-held: Not looking for hyper-growth on an aggressive timeline. We want to build an organization thoughtfully and strategically, with solid processes and culture.
  • Equity: Competitive salary plus the opportunity to earn a stake in a fast-growing company.
