Family Therapy Center of Madison, Inc. is seeking a motivated individual to work full-time hours/week) in the role of Client Support Specialist. Work time will be scheduled during our core hours of 8:30 am to 5:00 pm, Mon-Fri. The position includes health insurance, paid holidays, vacation and sick time; the pay range begins at $18.50/hour.

We are seeking someone who is warm and welcoming, both on the phone and in person. The ideal candidate will be someone who has excellent phone and customer service skills, is able to multi-task, can stay focused when the pace slows down, enjoys learning new software, and is highly accurate and detail-oriented. This is an excellent opportunity to work in a small and supportive office environment.

Position Summary:

The Client Support Specialist at Family Therapy Center of Madison, Inc. is responsible for answering incoming calls, welcoming clients at the window, scanning and uploading documents into the electronic health records system, taking payments, making reminder and scheduling calls, creating and cancelling appointments, processing new client paperwork, recording information for intakes and prescription refills, processing records requests and discharges, copying, updating addresses and assisting with other clerical projects that may be assigned.

Required Qualifications:

  • High school diploma
  • Previous work experience answering phone lines and/or providing customer service
  • Excellent phone etiquette, and the ability to have calm, compassionate and professional interactions with clients and clinicians, both in person and on the telephone
  • High degree of accuracy and attention to detail
  • Ability to multi-task in a fast-paced environment
  • Ability to complete work efficiently with minimal supervision
  • Ability to coordinate tasks with co-workers
  • Excellent dependability
  • Proficiency in using a computer: ability to type at least 45 wpm and to quickly learn new software
  • Ability to alphabetize and file charts and documents accurately

Preferred Qualifications:

  • Bilingual in Spanish and English
  • College or technical school degree
  • Previous work experience in a mental health or medical clinic
  • A basic understanding of HIPAA regulations
