POSITION DESCRIPTION:

The IT Project Manager II coordinates people and processes to ensure that technology projects are delivered on time and produce the desired results. The IT Project Manager II is an integral part of the IT team, helping the team to plan and manage concurrent projects requested across the organization. This role assists the cross-functional team with workflow refinement and overall resource management. The person in this position works closely with Information Systems leadership to assign resources, manage competing priorities and establish action plans and timelines for multiple projects.

ESSENTIAL JOB FUNCTIONS:

  • Provides project management for medium to large technology projects by developing clear project plans, coordinating meetings, tracking progress, communicating status, and ensuring milestones are met to support organizational priorities. Projects include IT initiatives such as system implementations, data integration, cybersecurity, infrastructure replacement, and user experience improvements to support medical group operations.

  • Helps to optimize the allocation and utilization of staff resources, ensuring that projects are adequately staffed, and all available resources are utilized efficiently to achieve business objectives.

  • Manages relationship with project stakeholders, including internal and external clients, keeping stakeholders informed of progress, risks and issues in order to manage expectations on all project requirements and deliverables.

  • Helps support an environment where continuous deployment and improvement of application development, business intelligence dashboards and reports, and system upgrade processes are the focus, and everyone's common goal is to deliver outstanding impact and value to our customers.

  • Evaluates project requirements and determines the appropriate project management methodology, such as Agile, Waterfall, or a hybrid approach, to ensure efficient execution and successful outcomes.

  • Leads the planning and execution of new projects, ensuring alignment on objectives, scope, stakeholders, deliverables, milestones, workplans, team assignments, and budgets.

  • Identifies and requests allocation of resources needed to achieve desired outcomes.

  • Controls scope by developing clear project deliverables and managing expectations.

  • Provides change management, issue resolution, risk management and status reporting.

  • Prepares and presents graphical representations relating to project statuses.

  • Plans, conducts and manages multiple medium to large scale projects and assignments, as necessary.

  • Reviews business processes as appropriate to guide project management and development.

  • Develops implementation strategies, training and communication plans for assigned projects.

  • Develops and implements release plans for detailed management and coordination of software upgrades, implementations and data migrations, among other technology specific changes.

  • Confirms work in progress and final product through informal and formal reviews and approvals.

  • Reinforces the enterprise knowledge management through the collection and communication of lessons learned.

  • Proactively identifies and raises issues with project teams; assists with making recommendations, and managing changes.

  • All other duties as assigned.

ESSENTIAL QUALIFICATIONS:

EDUCATION: Bachelor's Degree in Healthcare Administration, Information Technology or related field or equivalent combination of education and job experience.

CREDENTIALS/LICENSURE: PMP certification is preferred. Certified Change Management Professional (CCMP) is also valued.

MINIMUM EXPERIENCE: Minimum of 2 years' previous experience managing projects, preferably in information technology and/or a healthcare environment. Previous background working in a matrix-managed organization is helpful.

POSITION REQUIREMENTS (ABILITIES & SKILLS):

  • Knowledge of industry-standard project management terms.

  • High-level of proficiency in operating a standard desktop and Windows-based computer system, including but not limited to, Project Management applications, electronic medical records/templates, NextGen, Epic, Microsoft Office (Excel, Access, Outlook, Word, PowerPoint), email, e-learning, intranet and computer navigation.

  • General understanding of healthcare and medical group business processes, EHR and ERP systems.

  • Knowledge of common healthcare terminology.

  • Proficient in Project Management applications and tools.

  • Knowledge of Agile and Scrum Practices.

  • Excellent communication skills in both written and verbal forms. Ability to present complex and/or technical concepts to different types of audiences.

  • Ability to write clear, unambiguous project charters with clearly defined deliverables and success criteria.

  • Exhibits resourcefulness, is self-motivated, highly organized and possesses excellent interpersonal communication skills.

  • Ability to facilitate a group discussion, either in-person or virtually, and effectively manage meetings.

  • Comfortable in a fast-paced environment with multiple tracks of work.

  • Experience managing IT projects with general direction and a moderate degree of ambiguity.

  • Ability to identify key contacts for project success.

  • Aptitude to extract, combine and analyze data from project management tools into meaningful stakeholder reports and presentations.

  • Good organizational and time management skills to effectively juggle multiple priorities, time constraints.

  • Demonstrated ability to exercise sound judgement, troubleshooting and problem-solving skills, i.e., identifying problems, reviewing options and making appropriate recommendations.

  • Ability to reconcile differing points of view and influence others to reach consensus on project issues.

  • Ability to work independently and collaboratively in a team-oriented environment as a member of the Information Systems team. Possesses courteous and friendly demeanor.

  • Ability to work effectively with various levels of organizational members and diverse populations including IHA staff, providers and leadership.

  • Willing to gain an overall understanding of IHA structure and work flow processes throughout the organization.

  • Ability to handle patient and organizational information in a confidential manner.

  • Ability to travel to other office/practice sites and meeting and training locations.

  • Successful completion of IHA competency-based program within introductory and training period.

MINIMUM ENVIRONMENTAL EXPECTATIONS:

This job operates in a typical office environment which involves frequent interruptions and significant interaction with people which can be stressful at times.
