Job Summary
We are seeking a dynamic and detail-oriented Payroll Coordinator to join our team and ensure the accurate and timely processing of employee compensation. In this vital role, you will manage payroll operations, maintain compliance with relevant regulations, and support various HR and accounting functions. Your expertise will help foster a smooth payroll process that supports our organizational goals and enhances employee satisfaction. This is a union position with the Town of North Providence and is governed by the current Collective Bargaining Agreement.
Duties
- Oversee end-to-end payroll processing using industry-standard software.
- Ensure accurate data entry for employee hours, wages, benefits, deductions, and tax information.
- Reconcile payroll accounts through general ledger accounting practices including journal entries, account reconciliation, debits & credits, and double-entry bookkeeping.
- Manage benefits administration related to payroll including health insurance, retirement plans, and other employee perks.
- Maintain compliance with federal, state, and local payroll regulations by staying current on tax laws and governmental reporting requirements.
- Prepare detailed reports on payroll expenses, tax filings, and audit documentation for internal review and external audits.
- Collaborate with Human Resources to process new hires, terminations, salary adjustments, and leave management accurately within payroll systems.
- Support accounts payable and receivable functions related to payroll transactions to ensure financial accuracy.
- Assist in the integration of payroll data with other financial software systems such as accounting software or HRIS platforms.
- Conduct periodic analysis of payroll data to identify discrepancies or errors and implement corrective actions promptly.
- Facilitate communication across departments regarding payroll changes or updates while maintaining confidentiality at all times.
Experience
- Proven experience managing payroll operations using software platforms
- Strong understanding of payroll management processes combined with knowledge of accounting principles including general ledger reconciliation and journal entries.
- Familiarity with benefits administration systems and non-profit or governmental accounting is a plus.
- Demonstrated ability to handle complex data entry tasks with high accuracy using 10 key typing skills.
- Knowledge of tax regulations related to payroll processing including tax filings and compliance reporting requirements.
- Experience working with financial concepts such as accounts payable/receivable, account reconciliation, double-entry bookkeeping, debits & credits.
- Ability to analyze payroll data effectively for discrepancies or irregularities using analysis skills.
- Background in human resources functions related to payroll processing is advantageous.
- Excellent organizational skills with attention to detail in bookkeeping activities such as journal entries and general ledger reconciliation.
