About the Role

Alleviate Pain & Spine is a fast-growing, physician-led pain management practice redefining how patients experience care. We're seeking a hands-on, high-energy Operations Supervisor to partner with our Business Manager and ensure smooth, efficient daily operations.

This is a boots-on-the-ground role for someone who leads by example, solves problems in real time, and keeps the clinic running seamlessly. If you're proactive, calm under pressure, and thrive in a fast-paced environment, we want to meet you.

Key Responsibilities

Operational Leadership

  • Oversee and actively support daily operations, including front-desk, patient flow, and provider coordination.
  • Work alongside staff to ensure accuracy, timeliness, and consistency in all tasks.
  • Anticipate and resolve issues proactively — no passing the buck.
  • Collaborate with the Business Manager to implement initiatives and uphold clinic standards.
  • Step in wherever needed, from answering phones to troubleshooting EHR issues or assisting with patient check-in.

Team Supervision & Culture

  • Lead by example with a professional, patient-first, and solution-oriented mindset.
  • Motivate, coach, and hold team members accountable with fairness and respect.
  • Foster a positive "one team, one goal" culture through clear communication and teamwork.
  • Train and mentor staff to improve consistency, efficiency, and attention to detail.

Multitasking & Prioritization

  • Manage multiple operational areas — scheduling, billing coordination, staffing, vendors, and patient service.
  • Balance day-to-day task management with long-term operational awareness.
  • Reprioritize quickly as needs change while maintaining composure and focus.

Problem Solving & Execution

  • Identify workflow gaps and implement practical solutions.
  • Roll out new systems, forms, and processes efficiently.
  • Ensure strong follow-through — tasks are started and finished correctly.
  • Adapt quickly to challenges and take initiative without waiting for direction.

Administrative & Compliance Support

  • Ensure full compliance with HIPAA, OSHA, and internal policies.
  • Manage vendors, supply orders, and facility upkeep.
  • Assist with HR processes such as timesheets and onboarding checklists.
  • Track key operational metrics and provide weekly performance updates.

Qualifications

  • 3+ years of supervisory medical office or clinical operations experience
  • Bachelor's degree preferred (or equivalent experience)
  • Strong multitasking, prioritization, and time management skills
  • Proven ability to take ownership and deliver results independently
  • Excellent communication and team leadership skills
  • Proficient in EHR and scheduling systems
  • Familiar with medical billing and patient scheduling workflows

Job Type: Full-time

Pay: $ $32.00 per hour
