Materials & Production Coordinator

Type: Full time, Hourly, Non Exempt

The Materials & Production Coordinator plays a critical role in supporting efficient and timely manufacturing operations. This position is responsible for assisting in developing & maintaining inventory and production schedules to align with customer demands and internal capabilities. The ideal candidate will be highly organized, proactive, and detail-oriented, with strong communication skills and the ability to collaborate effectively across multiple departments. Success in this role requires the ability to anticipate challenges, coordinate resources, and contribute to a seamless production process that supports on-time delivery and positive customer experience. This position reports to and supports the Production Manager.

Responsibilities

  • Responsible to procure and manage assigned parts & components: purchase order issuance and maintenance, administration of engineering changes and purchased material cost analysis
  • Manage supplier relationships assigned, and assist in the development and implementation of supply base strategies
  • Track work orders and coordinate with production techs, purchasing, sales and department managers to ensure materials are supplied according to the production schedule.
  • Work closely with the manager to focus on schedule management, adjusting timelines (pushouts/pull-ins), and identifying causes and solutions for delays
  • Assist with Marketing requests including running Price Models to determine material costs for a proposed project to identify and implement cost reduction opportunities, as well as overall material cost control
  • Control and manage the inventory integrity of purchased items in the inventory data base
  • Act as Key Person within the department in absence of production manager
  • This position interfaces not only with numerous suppliers and production technicians but also with other departments (sales / engineering) so clear, effective, and polite communication will be a key to success.

Secondary Responsibilities

  • Resolving supplier problems, including non-conformances, invoicing, receipt discrepancy, terms and conditions, and service levels
  • Seek out new suppliers, and new processes and keep the company abreast of these developments
  • Collaborate with all team members (Manufacturing, Engineering, Sales) to ensure timely completion and client satisfaction.
  • Optimize the production schedule with the support of your team based on customer requirements.
  • Monitor the production schedule daily to identify problems and balance loading.
  • Expedite and prioritize work orders.
  • Keeping track of warehouse inventory and stock, including monthly counts.
  • Help identify production issues that may negatively impact the production schedule
  • Perform other duties as assigned.

Education & Experience

  • High school diploma or GED required
  • 2–3 years of hands-on experience in a production planning and procurement
  • Strong Working knowledge of Excel, Outlook, Word

  • Strong analytical and problem-solving skills with excellent attention to detail.
  • Effective verbal and written communication in English.
  • Ability to multi-task, prioritize, and manage time effectively
  • Attention to detail, with a high degree of accuracy and personal accountability.
  • Highly organized, self-motivated, and able to prioritize in a fast-paced environment.
  • Comfortable working independently and as part of a collaborative team.
  • Physically capable of lifting/pushing/pulling up to 25 lbs. and withstanding prolonged standing or bending as needed.

Work Environment:

  • Regular exposure to typical shop elements such as noise, dust, and moving equipment.
  • Must be able to work safely and effectively in a production/manufacturing environment.
  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit; twist; use hands to handle; push; pull or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.
  • The employee must regularly lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.
