Billing Specialist/ Scheduling Coordinator

Our practice is committed to providing the highest level of care and service in the field of transgender healthcare. We are seeking a dedicated and detail-oriented Billing Specialist/ Scheduling Coordinator to join our team. This full-time position is remote and can be located in CA, MA, TX, MN, NC, or SC. If you're passionate about healthcare, particularly supporting the transgender community, and have experience with data entry, insurance, surgery scheduling and claims, we'd love to have you as part of our innovative and compassionate team.
Core Responsibilities:
As a Billing Specialist / Scheduling Coordinator, your primary focus will be to ensure revenue cycle is maintained, patients receive clear communication about their financial responsibilities, and work closely with the surgery scheduling team to ensure seamless operations.
- Coordinating Data Updates: Work with multiple software systems to update surgical case information, confirming scheduled dates, associated fees, and other pertinent details before surgeries.
- Insurance Revenue Cycle Assistance: Assist as needed with claims filing, EOB posting, appeals, and statement submission.
- Answering Billing and Insurance Questions: Provide patients with clear explanations of their insurance benefits, fees, and billing details. Respond to patient inquiries and assist with understanding their policies.
- Facilitating Payment Collection: Follow up with patients and insurance companies to ensure timely payment of balances due. Actively work to resolve outstanding payments and follow up on overdue accounts.
- Processing Refunds: Ensure that any patient or insurance overpayments are identified and refunded promptly.
- Creating Billing Statements: Generate and send detailed billing statements to patients, ensuring accuracy and clarity in the financial information provided.
- Updating Surgical Case Information: Ensure that the facility scheduling systems are up-to-date with upcoming surgeries and match data under internal scheduling records.
- Problem Resolution: Identify billing issues and potential scheduling discrepancies, gather necessary information, and provide possible solutions to avoid delays or cancellations in patient procedures.
- Communication Coordination: Facilitate communication between patients, staff, and the surgery team to ensure all required updates are received and surgeries are not rescheduled due to financial issues.
- Cross-Referencing Software Systems: Utilize and cross-reference multiple software systems to verify data accuracy and consistency related to insurance claims, billing, and surgery scheduling.
Required Skills:
- Previous claims processing and posting experience
- Claims appeals knowledge and how to work
- Knowledge of ICD-11 codes
- EMR system experience
Strongly Preferred Skills:
- Worked with ModMed, Hubspot, and Surgical Information Systems (SIS). Please share with your submission if you have experience with any of these systems.
- Experience with 10-Key for efficient data entry
- Familiarity with surgery scheduling processes
Position Requires:
- Attention to Detail: Strong focus on accuracy in processing patient information, billing, and payment transactions.
- Problem-Solving: Ability to identify issues, troubleshoot problems, and develop solutions in a timely manner.
- Communication Skills: Excellent verbal and written communication abilities to interact with patients, insurance companies, and internal team members.
- Adaptability: Comfort in adjusting to new systems, processes, or unexpected changes in workload.
- Willingness to Learn: Open to ongoing learning and professional development in the healthcare billing and insurance field.
Qualifications:
- High school diploma required (Associate's or Bachelor's degree preferred)
- 1+ years of experience in healthcare billing, claims management, surgery schedule, data entry, or insurance-related roles
- Proficiency with basic math and computer skills (experience with Microsoft Office, Teams, and billing software)
