Position Summary

The Human Resources & Staffing Scheduler is a combined role responsible for coordinating staff schedules while supporting essential human resources functions in a long-term care facility. This position ensures appropriate staffing coverage, regulatory compliance, and effective HR support to maintain quality resident care and employee satisfaction.

Essential Duties & Responsibilities

Staffing & Scheduling
  • Develop and manage daily, weekly, and monthly staffing schedules for nursing and support staff
  • Ensure staffing ratios meet state and federal long-term care regulations
  • Coordinate coverage for call-outs, PTO, leaves, and emergencies
  • Communicate schedule changes clearly and promptly
  • Monitor overtime, agency usage, and staffing trends
  • Collaborate with nursing leadership to anticipate staffing needs
Human Resources Functions
  • Assist with recruitment, hiring, onboarding, and employee orientation
  • Maintain confidential employee personnel files and HR records
  • Track employee credentials, licenses, certifications, and required training
  • Support payroll by reviewing timecards, attendance, and PTO records
  • Assist with employee relations, disciplinary documentation, and policy enforcement
  • Support performance evaluations and HR compliance initiatives
Compliance & Administrative Support
  • Ensure compliance with labor laws, facility policies, and regulatory requirements
  • Prepare staffing and HR reports for audits, surveys, and management review
  • Support state and federal inspections and regulatory surveys
  • Maintain accurate documentation related to staffing and HR activities

Qualifications

Education & Experience
  • High school diploma required; associate's or bachelor's degree preferred
  • 2–3 years of experience in healthcare scheduling, HR, or administration
  • Long-term care or healthcare experience strongly preferred
Skills & Competencies
  • Strong organizational and multitasking abilities
  • High level of discretion and confidentiality
  • Proficiency with HRIS and scheduling software
  • Excellent communication and interpersonal skills
  • Ability to adapt quickly in a fast-paced healthcare environment
  • Knowledge of healthcare staffing regulations is a plus
