**Role Overview:
The Medical Assistant / Front Desk is a hybrid role that provides both clinical and administrative support to ensure smooth patient care and efficient clinic operations. The role also includes front desk responsibilities such as patient check-in, scheduling, answering phone calls, and coordinating patient flow.
**Key Responsibilities:
Front Desk & Administrative Duties
Greet and check in patients, providing a welcoming first point of contact
Answer and direct phone calls, respond to patient inquiries, and relay messages to staff
Schedule appointments, coordinate follow-ups, and update the EMR system (Mind Body)
Manage patient intake paperwork and ensure accurate records
Support billing, payment, and insurance verification processes as needed
Clinical Support
Assist Nurse Practitioners and Nurses during injections, procedures, and patient care activities
Prepare patients for treatments, including explaining steps and obtaining vitals or intake information as directed
Clean, disinfect, and maintain medical devices after patient use, following infection-control protocols
Turn over treatment rooms between patients, ensuring rooms are sanitized, stocked, and ready
Monitor clinical supply levels and communicate restocking needs
Device Operation
Safely set up, operate, and monitor patients using specialized devices, including:
Red Light Therapy Beds
Hyperbaric Oxygen Therapy (HBOT) Chambers
HOCATT Ozone Sauna Systems
DEXA Body Composition Scanners
VO₂ Max / Metabolic Testing Equipment
Educate patients on what to expect during device sessions and ensure their comfort and safety
Document device usage and session details in the electronic medical record (EMR)
Patient Experience
Provide pre- and post-treatment instructions to patients
Support patients throughout their visit to ensure comfort, safety, and understanding of treatments
Maintain patient confidentiality and uphold HIPAA compliance at all times
Qualifications
- Prior experience in a medical or wellness clinic strongly desired
- Comfort with learning and operating advanced medical/wellness devices
- Strong communication, multitasking, and organizational skills
- Familiarity with EMR systems and scheduling software preferred
- Ability to assist with device operation and patient positioning
- Ability to stand for extended periods during procedures and treatments
- Ability to sit for front desk administrative tasks
- Ability to lift/move up to 25 pounds as needed
- Work performed in a clinical environment with exposure to medical devices and cleaning agents
