Position Overview:

Our firm is seeking a detail-oriented and highly organized Legal Billing Specialist to manage billing operations and support our attorneys and clients with accurate and timely invoicing. The ideal candidate will have 3–5 years of legal billing experience and a strong understanding of law firm billing processes, including experience with Aderant, Elite, or similar legal billing software. This role plays a key part in ensuring billing accuracy, compliance with client guidelines, and smooth month-end billing cycles.

Key Responsibilities:

  • Prepare, review, and edit pre-bills and final invoices in accordance with firm and client billing guidelines.
  • Process timekeeper entries, invoice adjustments, write-offs, and transfers as needed.
  • Ensure billing rates, billing arrangements, and client-specific billing terms are accurately applied.
  • Submit invoices through various e-billing platforms and monitor approvals, rejections, and audit requests.
  • Communicate with attorneys and clients regarding billing inquiries and provide timely resolution of billing discrepancies.
  • Maintain accurate billing records and documentation in billing systems and firm databases.
  • Assist with month-end billing cycles, reporting, and processing of billing-related financial data.
  • Support ongoing improvements in billing workflows and internal procedures.

Qualifications:

  • 3–5 years of legal billing experience in a law firm required.
  • Experience with Aderant, Elite, or comparable legal billing software required.
  • Strong understanding of legal billing formats, client guidelines, and e-billing systems.
  • High attention to detail and accuracy when reviewing financial data and billing entries.
  • Excellent written and verbal communication skills; ability to interact with attorneys and administrative staff professionally.
  • Strong organizational skills with the ability to prioritize workload and meet deadlines.
  • Proficient in Microsoft Office Suite (especially Excel and Outlook).

Preferred:

  • Experience with LEDES billing formats and e-billing portals.
  • Familiarity with billing compliance and client audit processes.

Work Schedule:

  • Hybrid – 3 days in-office / 2 days remote (schedule determined by firm policy).

Job Type: Full-time

Pay: $65, $80,000.00 per year
