Position Overview

The Events and Learning Assistant has the primary responsibility for assisting the Events Manager and Director of Events and Learning in coordinating all events including conferences and learning programs. Additionally, this position assists in coordination of all in-house meetings. This position reports directly to the Events Manager to plan, implement, and evaluate these association events.

Position Responsibilities:

Provide support for conferences and events including registration, reporting, call for proposals process, speaker management, vendor support and communication, etc.

Provide support for learning programs including webinar production support, logistical planning for workshops, and participant, speaker, and sponsor communications.

Coordinate website and mobile app updates with Marketing Department.

Assist with the post-event wrap-up and compilation of session evaluations using both manual and automated processes (e.g., Survey Monkey).

Maintain all event files, including budget tracking.

Prepare and ship program materials accurately and in a timely manner.

Manage planning timelines to keep projects running smoothly and on schedule.

Assist with scheduling, technology setup, and fulfillment of in-house meetings.

Work directly with meeting/event venues to coordinate hotel rooming lists, onsite/offsite meals, travel/transportation, and training room setup.

Acts as a backup receptionist as needed.

Other duties as assigned.

Qualifications:

· Two years' experience in a meeting planning role

· Associates degree or higher

· Association experience preferred

Skills and Abilities required:

· Eye for detail with history of accurate, precise work

· Ability to work independently and self-motivate and collaborate effectively with others

· Strong computer, time management and multi-tasking skills

· Demonstrate a professional presence, including strong communication skills, appropriate workplace etiquette, and the ability to represent the organization effectively. Ability to lift and carry up to 50 pounds for short distances

· Ability to pack, unpack, and maneuver 100-pound wheeled cases

· Occasional travel required.

· Flexibility to adapt to rapidly changing association priorities

· Political sensitivity and judgment

· Proficiency with Microsoft Office

· Experience with AMS systems, preferably re:Members, and database reporting tools

Job Type: Full-time

Pay: From $38,000.00 per year
