Reporting to the Accounts Payable Manager, the Accounts Payable Specialist is responsible for processing vendor invoices, employee reimbursements, and client disbursement requests in accordance with Firm guidelines and quality standards. The role requires familiarity with accounts payable concepts, practices, and procedures, as well as the ability to communicate effectively with attorneys, staff, vendors, and clients. This position is eligible for a flexible hybrid-remote work schedule after an initial period of training.

Key Responsibilities

  • Processes vendor invoices, employee reimbursements, and client disbursement requests using Aderant Expert, Emburse Chrome River, or similar accounting software.
  • Ensures all accounts payable transactions adhere to Firm guidelines, deadlines, and quality standards.
  • Communicates effectively with managers, attorneys, assistants, vendors, and clients on accounts payable matters.
  • Researches and resolves accounts payable issues, including vendor setup and maintenance, statement reconciliations, 1099, meals, entertainment, and use tax information.
  • Documents, updates, and communicates procedures, known issues, and workarounds; provides user support for Emburse Chrome River or similar tools.
  • Prepares special reports and documents for attorneys, clients, vendors, or management.
  • Processes duties related to the Vendor Contract Intake System using Intapp or similar software.

Knowledge, Skills, And Abilities Required

  • Excellent customer service and collaboration skills.
  • Strong professionalism, interpersonal skills, and ability to maintain confidentiality.
  • Clear verbal and written communication skills with proper grammar and spelling.
  • Attention to detail and strong time management skills; ability to manage multiple priorities.
  • Ability to apply sound reasoning and critical thinking to resolve issues.
  • Basic knowledge of 1099, meals and entertainment, and sales and use tax guidelines.
  • Accurate typing skills; proficiency in Microsoft Outlook and Excel.

Experience And Education Qualifications

  • High school diploma with at least two years of accounts payable or related experience, or Associate degree in Business Administration or related field with one to three years of experience.
  • Experience with vendor contract management and procurement processes is a plus.
