The Document Controller supports Bay Ltd.'s Quality Department by managing and executing the turnover process of project documentation from construction and commissioning to the client or operations team. This role ensures that all required documentation is compiled, reviewed, and submitted in accordance with project specifications, regulatory standards, and client requirements

ESSENTIAL FUNCTIONS

  • Coordinate the development, collection, review, and submission of Turnover Packages (TOPs) or System Completion Packages (SCPs).
  • Ensure all documentation complies with contractual, regulatory, and internal standards.
  • Track and manage documentation progress using spreadsheets or Electronic Document Management Systems (EDMS).
  • Liaise with internal departments (QA/QC, engineering, construction, commissioning) to gather and verify required documentation.
  • Perform document quality checks for completeness, accuracy, revision control, and proper approvals.
  • Develop and maintain turnover documentation trackers and status reports.
  • Prepare final handover documentation for client submission (digital and/or hard copy).
  • Schedule and participate in turnover meetings with stakeholders and clients.
  • Maintain organized project files in accordance with company and client standards.
  • Address and resolve documentation discrepancies or deficiencies before turnover deadlines
  • Maintain secure storage and safekeeping of all project records and documentation.
  • Adhere to Bay Ltd.'s Safety and Quality Policies, exercising Stop Work Authority when necessary.
  • Consistently wear required PPE while working at job sites.
  • Perform additional duties as assigned by management.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school diploma or GED required. Associate's or Bachelor's degree in Business Administration, Engineering or related field preferred.
  • Minimum of 3 years of document control, quality, or project coordination roles, preferably in construction, engineering, or industrial projects.
  • Turnover Coordinator experience preferred and/or QA/QC processes preferred.

SKILLS / KEY COMPETENCIES

  • Knowledge of Procore, Bluebeam, Adobe Software, SharePoint, Microsoft Office Suite and other Document Control related software.
  • Understanding of manufacturing processes in oil & gas and heavy construction industries
  • Ability to read and interpret blueprints and technical drawings
  • Strong time-management skills, attention to detail, and ability to multitask effectively
  • Ability to work in a fast-paced, high-pressure environment
  • Ability and willingness to work overtime and weekends as required
  • Strong verbal and written communication skills with clients and team members at all levels

PHYSICAL REQUIREMENTS

  • Moving about to accomplish tasks or moving from one worksite to another
  • Ability to operate job related tools
  • Constantly perform repeating motions that may include feet, leg, wrists, hands and/or fingers
  • Work that includes moving and/or lifting objects up to 50 pounds, carrying at least 30 pounds and up to 150 pounds with help
