PRIMARY FUNCTION

Position is responsible for performing clerical duties and monitoring urine assessments for designated program unit or supervisor by performing the following duties. Responsible for training and oversight of administrative staff to include reporting status to director/manager and ensuring coverage for administrative staff duties. Position responsible for scheduling of other administrative staff to ensure adequate support at location(s) assigned.

SCOPE OF WORK

  1. Process correspondence, reports, forms, and miscellaneous paperwork as requested by supervisory/management.

  2. Responsible for typing, word-processing, photocopying, faxing, filing, scanning, linking and etc.

  3. Prepare and maintain various tracking logs.

  4. Maintain client and/or administrative files.

  5. Participate in clinical staffing and team meetings. Manage the agenda to update with new information and send to the clinic team with updates after the team meetings.

  6. Process the intake of new/transfer patients, including all entry into various databases as required by the program.

  7. Compiling and updating patient charts. Scanning needed materials into patient charts. Maintain appropriate paper copies of materials.

  8. Maintain office appearance, bulletins, and supplies, ordering additional materials as necessary.

  9. Prepare and submit reports as required.

  10. Other duties as defined by supervisory/management staff.

  3. Maintain clinical/administrative records in accordance with Agency standards.

KNOWLEDGE, SKILLS & ABILITIES

Ability to read and interpret reports and documents. Ability to respond to inquiries or complaints. Ability to write and conform to prescribed style and format. Ability to follow an extensive variety of instructions and deal with several concrete variables. Knowledge of MS Office (Word, Excel, Outlook), Windows and various computer applications required. Ability to type 55 60 wpm required.
