SUMMARY:

The mobile and school pantries program assistant serves as a critical liaison between AFFB and its mobile and school pantry partners, ensuring effective, equitable, safe, and efficient food distribution to food-insecure neighbors in our service area. They will support the daily operation, including distribution/delivery of food to mobile and school family pantries, communication with program partners, maintenance of appropriate records for program administration, and customer service for day-to-day activities

ESSENTIAL FUNCTIONS:

Build and Maintain Community Relationships

  • Assist with the applications, evaluations, onboarding, and agreement processes for new school sites
  • Develop and maintain relationships with current and potential partner schools to expand network capacity, capability, and reach
  • Provide ongoing communication and support and respond to partner questions, concerns, and/or challenges promptly
  • Ensure all host site agreements, addenda, and food storage guidelines are completed and processed on time and filed in appropriate account folders.
  • Partners with participating schools and other community-based organizations serving the identified target population/area specific to program(s) in community outreach events
  • Evaluate food safety, data reporting, and other compliance issues through routine site visits and other communicative means
  • Monitor and create (as needed), school family pantry orders using inventory control software; ensure orders meet program guidelines
  • When applicable, ensure all food service equipment is in working order, is properly marked with an AFFB asset tag, is delivered to all sites and/or food providers promptly, and that a valid signatory signs the equipment loan agreement
  • Monitor equipment and technology related to program needs and maintain updated inventory spreadsheets
  • Assist with mobile pantry logistics, including traffic maps, notifications of closures/changes, and completing orders as needed
  • Assist with onboarding of new school pantries or new program contacts, including ordering training
  • Work closely with other departments as needed per program requirements
  • Assist in AFFB special events, volunteer and/or donor recognition events as needed

Registration and Program Support

  • Provide registration, traffic, and food distribution assistance at mobile and school family pantries; assist in training new volunteers as needed
  • Attend school pantries for additional support and guidance when needed
  • Assist with weekly emails for pantry coverage needs
  • In coordination with the client registration coordinator, prepare supplies and technology for client data tracking at school pantries

Program Management and Monitoring

  • Ensure compliance with all internal and external agreements/contracts, policies, procedures, and operating guidelines
  • Perform site visits to ensure compliance with food safety requirements, quality standards, state and federal laws, policies, contracts and agreements
  • Evaluate partners in accordance with established guidelines and timetables and put into place efficiencies and improvements, as needed
  • Assist with gathering monthly compliance and distribution reports, quarterly and annual evaluation surveys
  • Other duties as assigned according to the role and mission

  • Effective verbal and written communication skills. Should be able to adapt communication styles to suit different audiences, including network members, staff, volunteers, and the public
  • Ability to identify and resolve problems promptly, develop alternative solutions, and use reason even when dealing with difficult situations
  • Able to train others on program regulations and maintain compliance
  • Must be able to convey information, guidance, and work directions, instilling a sense of mission, service, cooperation, and collaboration with co-workers, volunteers, and within assigned work areas
  • Committed to serving vulnerable populations to end hunger in the community served by AFFB

QUALIFICATIONS:

  • Bachelor's degree in social studies or similar preferred; or equivalent experience in related positions
  • Self-starter with strong organizational skills, attention to detail, and creative problem-solving
  • Experience evaluating processes and making strategic recommendations to increase effectiveness
  • Able to obtain Food Management Certification within 3 months of hire.
  • Computer literacy and proficiency in technology and common software, and the ability to learn new systems and software
  • Ability to accommodate a flexible schedule, including evenings and some weekends
  • This position requires at least 25% of the time spent in the field at partner agency sites or driving a company or personal vehicle, as needed
  • Valid Florida driver's license; reliable vehicle and car insurance. Willingness to travel up to 60 miles one way to agency sites as needed
  • Familiarity with Sarasota and/or DeSoto counties preferred
  • Bilingual preferred (Creole, Ukrainian, Spanish or Portuguese)

WORKING CONDITIONS:

  • Exposure to extreme weather
  • Moves equipment weighing up to 50 pounds
  • Must be able to remain standing or sitting for most of the shift
  • Must be able to complete tasks in a noisy environment
