Minnesota Management and Budget (MMB) is seeking a Legal Services Coordinator to support agency legal services in multiple areas, including data practices, inter-agency communications, litigation discovery management, file management, scheduling, and assistance with trainings and presentations, basic research, document drafting and editing, and a variety of complex legal service areas. This is a new and unique position at MMB that will be a crucial part of legal operations and perform duties that will have an impact on MMB's performance of legal obligations and agency operations.

Job duties for this position include:

  • Coordinating intra-agency responses to data requests from intake through routing to agency contacts, collecting responsive data, legal review, response to requestor, and proper file management
  • Developing, implementing, and updating processes and systems for tracking data practices requests and other legal services activities
  • Serving as the MMB liaison to the Office of the Secretary of State, Official Documents section; developing and maintaining a system for organizing documents such as delegations of authority issued by Commissioner of MMB
  • Corresponding with internal and external stakeholders, including but not limited to MMB staff, state agency general counsel, governor's office staff, and the Attorney General's Office
  • Coordinating litigation holds and supporting data collection and review for litigation discovery and responding to subpoenas
  • Tracking legal services calendars and assisting with the scheduling and facilitation of legal staff meetings, events, trainings, conferences, and appearances
  • Monitoring legal services budget and facilitating the processing of legal services contracts, expenses, and other expenditures

Telework options for this position are dependent on where the employee lives. With approval, employees that live within 50 miles from the primary work location may telework up to 50%. Employees that live 50 miles or more from the primary location
and live in Minnesota
may telework more than 50% with approval.

  • Two (2) years of experience coordinating legal services and providing administrative support in areas including data practices, document management, litigation management, or case management for a legal group or division

Experience must include:

  • Analyzing, identifying, and implementing ways to establish and improve systems and processes
  • Knowledge of legal concepts and terminology sufficient to understand and support legal services
  • Organizational skills sufficient to plan, coordinate, and track legal activities for multiple high-volume areas
  • Communication and writing skills sufficient to convey complex and/or sensitive information to a variety of audiences, including MMB staff, the public, and agency general counsel offices
  • Computer skills sufficient to draft and send professional emails, documents, and reports; proficiency with word processing, spreadsheet, database, and email software, such as Microsoft Word, Excel, PowerPoint, and Outlook
  • Demonstrated respect for diversity and a deep commitment to fostering an inclusive and collaborative work environment.

A bachelor's degree in law, paralegal studies, criminal justice, public administration, or risk management may substitute for one (1) year of experience.

Preferred Qualifications

  • Familiarity with laws related to Minnesota state government document management and records retention
  • One (1) year of relevant experience while working for a Minnesota state agency, county, city, or Tribal government
  • Paralegal certificate or another legal certification
