Accounts Payable Specialist

We are seeking a detail-oriented Accounts Payable Specialist to join our team. The role involves managing accounts payable functions across multiple locations, working closely with other AP Specialists and the AP Manager. This position is a 2-3 month contract with the potential to hire based on workload.

Responsibilities

• Manage the accounts payable inbox daily, ensuring bills are entered into Chase360 and responding to internal and external emails.
• Reconcile vendor accounts receivable aging to our vendor payable balance.
• Review new and updated vendor documentation for the AP Manager.
• Ensure the correct processing of bills with additional backup attachments.
• Properly code invoices for the general ledger and process transactions.
• Establish and maintain strong relationships with employees and vendors.
• Verify vendor accounts, handle payment discrepancies, and ensure check requests and employee expense reports are properly documented.
• Download all online invoices to avoid late payments and file paperwork accurately.
• Assist with W9s and 1099s to ensure proper tax reporting and keep informed of regulatory requirements.
• Contribute to special projects as needed and work overtime when required.

• 3+ years of accounts payable experience.
• Strong communication skills.
• Comfortable with change and adapting to new processes.
• Experience working with an ERP system larger than QuickBooks.
• Experience with vendor setup and invoice processing.

• Basic Excel skills are a plus but not required.
• Willingness to learn and be trained.
• Experience with three-way match is preferred but not mandatory.

This is a fully onsite role with a requirement to process approximately 100 invoices per day, involving very manual entries. The position is initially for a 2-3 month contract, with potential for hire based on workload. The work environment is dynamic, requiring adaptability and a readiness to embrace new processes.

Pay and Benefits

The pay range for this position is $ $30.00/hr.
