Submittal Specialist

Our Submittal team aims to be #1 in our local market in aptitude and efficiency; drive growth and market-leading customer service with a best-in-class group of industry professionals; and provide leadership, organization, and direction to build a group capable of meeting customer requirements.

What you'll do:

  • Manage a project from the submittals stage through the time it is ordered, and in some cases, beyond materials being ordered.
  • Will confirm BOM & pricing at time of contractor award to QED.
  • Responsible to inform Outside Sales that submittals have been requested. Will also inform Outside Sales off submittals from participating vendors.
  • Review and comprehend architectural and electrical drawings, product bill of materials, and product submittals. Provide quality control checks to ensure materials are ordered to specification.
  • After PO placed, responsible to provide cost and sell. Will advise customer via email that submittals have been requested and keep Outside Sales informed.
  • Once submittals are gathered, will assemble in order of fixture schedule, check against quoted BOM for accuracy, and add cover page.
  • Responsible to send submittals directly to the customer and copy Outside Sales and Project Manager.
  • Once reviewed submittals are received from contractor, will review and forward to participating vendors for required updates per the review comments.
  • Will compile RFI/Status of Release/Email if more information is needed from contractor and send directly to the customer, copying Outside Sales and Project Manager.
  • Once RFI's are returned, will forward to participating vendors and request updated BOM and pricing as necessary – copying Outside Sales.
  • If revised pricing is necessary and an updated quote is required, responsible for gathering all pricing and update quote. Then communicate to customer and Outside Sales.
  • Following customer final pricing & quantities confirmation, all customer comments; customer PO; customer release request to be compiled into a folder in prep to send to Project Manager.
  • Should there be multiple releases: Submittal Specialist will retain ownership of anything NOT released. Project Manager will take responsibility for any product that has been released.
  • Responsible for loading all information in JM and sending a link to documentation folder to Project Manager for issuance of Po's.
  • Submittal Specialist will provide all relevant notes that PM will need to know, including but not limited to types on hold, changes from submittal to release that are only documented in email on the subs, PLS & Shipping info and all other info that might be needed
  • Provide supplementary product quotations when required.

What you'll bring:

  • Bachelor's degree preferred.
  • 2-5 years of experience in a sales role.
  • 2+ years in the Electrical Distribution or construction industry preferred.
  • Electrical product and tool knowledge strongly preferred.
  • Ability to communicate with customers across all relevant industry partners.
  • Experience with customer relationship management (CRM) software.
  • High understanding of computers and software applications (Outlook, Excel, etc.)
  • Experience with estimating and budgeting projects.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to multi-task and prioritize job projects and requirements
  • Must be detail oriented and possess excellent organizational, time management skills, and customer services skills
  • Ability to work independently.

Compensation: $75,000 - $95,000 annually
