IT Project Coordinator

Supporting IT and physical security projects by: collaborating and communicating with teams, ensuring project timelines are achieved, managing resources, tracking orders, facilitate planning meetings, and overseeing installation teams as well as organizing project documentation. The ideal candidate is pivotal in maintaining daily communication momentum on projects and ensuring precise record-keeping. Additionally, they should be adept at overseeing larger-scale tracking for extensive, multi-month projects, demonstrating excellent coordination and organizational skills.
Requirements:
- Coordinate, define, staff, and manage one or multiple projects.
- Serve as the primary project point of contact with management and various technical personnel from inception through completion.
- Conduct site surveys and kickoff meetings.
- Keep track and adhere to project schedules, coordinate status meetings, and manage resources.
- Collaborate with project business owner to oversee delivery performance, ensure quality, report schedule cost, and execute performance.
- Organize pre- and post-project documentation.
- Manage the delivery of projects, including but not limited to aligning on project plans and schedules, identifying and assigning resources, tracking and reporting progress, and driving projects to completion through timely and effective communication.
- Collect and document business processes and requirements from users.
- Work with internal teams to collect/perform quality checks and assure documents.
Responsibilities:
- Support IT projects by coordinating and communicating with teams to ensure project timelines are achieved.
- Serve as an intermediary to coordinate IT and physical security projects, managing resources to meet strict deadlines and budgets.
- Facilitate planning meetings, client interactions, and oversee the efforts of team members and third-party contractors.
- Collaborate daily with both internal and external stakeholders.
- Deliver user training when applicable.
- Diligently follow up with detailed meeting notes and facilitate next-step meetings to direct each action to the appropriate team member, ensuring project success.
Qualifications:
- 2+ years of experience in an IT environment, with hands-on project coordination experience.
- Strong experience in developing and adhering to project plans and schedules with ability to prioritize.
- Strong organizational, multitasking, and customer service skills.
- Excellent communication, documentation skills with attention to detail.
- Eagerly inquisitive, innovative, and driven individual capable of thriving in a swift and dynamic work setting.
- Proficiency in Google Suite, Google Docs, Sheets, and Smartsheet is a plus.
- Ability to work individually and as part of a team, managing multiple projects simultaneously.
- Experience working directly with upper management or project management; internship experience may be considered.
