The Daughters of Hawai'i is an ever-expanding 501(c)(3) Hawaiʻi based nonprofit organization founded in 1903 with over 1200 members worldwide. The Administrative & Design Assistant reports to and works closely with the Programs & Education Manager to support in an administrative and design capacity across all properties and programs. The Administrative & Design Assistant position is part-time and may include travel as well as work on weekends and Holidays.
ESSENTIAL JOB FUNCTIONS
The essential duties and responsibilities of this position include, but are not necessarily limited to:
Office Operations
- Responsible for executing opening and closing procedures, monitoring entrance and exit flow, and managing guest queues to ensure a smooth and efficient visitor experience.
- Respond to guest and volunteer inquiries, feedback, and complaints, and collaborate with relevant departments to address any concerns or requests.
- Ensure compliance with all safety procedures, policies, and guidelines during guest interactions.
- Demonstrate knowledge of products and services available, sell products and collect payment in exchange for products and services, using the point-of-sale system.
- Assist guests with general and special admissions, addressing any issues or concerns in a friendly and professional manner.
- Perform other clerical or technology-related duties as assigned.
Customer Service
- Greet all visitors, volunteers, and members and provide a welcoming atmosphere.
- Serve as the visitor experience liaison for all visitors to the Palace. Answer incoming calls and inquiries for the museum and gift shop, to provide information of services and programs available and direct visitors appropriately.
- Ensure all public areas of the Palace, including the grounds and restrooms, is neat, clean and presentable throughout each business day.
Facility Rentals
- Assist conducting site visits, review rental policies and procedures with clients, assist coordinating availability of the facilities, conducting pre & post-event surveys, may oversee the facilities during the private events as needed.
- Input details for contract rentals, ensuring all requirements are met and payment received.
- Update the Events calendar, listing all activities scheduled on-site.
Docent Program
- Conduct guided tours of the Palace Museum for student and adult groups, highlighting key exhibit themes, cultural significance, and historical context.
- Assist with the development, coordination, and delivery of educational programs, workshops, and special activities for students, adults, and families.
- Support the training and orientation of volunteers participating in the Docent Program, providing guidance on tour content, visitor engagement, and interpretation best practices.
- Assist in conducting additional educational opportunities that provide a deeper understanding and appreciation for the history, language, and culture of Hawai'i.
QUALIFICATIONS:
- High school diploma or GED required; Bachelor's degree in Business Administration or Hawaiian History degree preferred.
- Minimum 1 years of experience in customer service, hospitality, or a similar field required; 2 years preferred.
- Experience with a point-of-sale (POS) system, preferably Square is preferred.
- Attention to detail and accuracy with excellent interpersonal, verbal and written skills.
- Proactively identifying issues and finding effective solutions.
- Personable, energetic, highly organized and a team player.
- Familiarity with Hawaiian or Pacific culture and history preferred.
- Available to work Wednesday through Saturday, 10:00 AM to 4:00 PM.
- Availability to work during special evening and weekend hours.
PHYSICAL JOB REQUIREMENTS
- Moving and standing for long periods of time, walking up and down a flight of stairs with ease, bending, stooping, reaching, twisting, pushing, pulling, and moving items.
- Ability to lift and carry 25 lb. boxes and climb up a 4 ft. ladder.
