TITLE: Junior Associate , Investor Relations

CLASSIFICATION: Full-time

DEPARTMENT: Investments

REPORTS TO: Managing Director, Investor Relations

Position Summary:

The Junior Associate, Investor Relations, supports Managing Director, Investor Relations, and Investments team with the creation of ad hoc investor reports utilizing Yardi Investment Management or other platforms. Assist with developing and maintaining beneficial long-term relationships with the company's investors; helping to communicate the company's investment message to the investment community on behalf of the company; and assisting with monitoring and updating the organization on the opinions of the investment community.

Essential Duties and Responsibilities:

  • Assists with maintenance of company investor relations plan.

  • Maintain high-level working knowledge of Yardi and how to obtain information effectively and accurately. Consistently work to more effectively utilize the Yardi platform, communicates needed process improvement and suggest training as needed.

  • Manges the production and distribution of Yardi summary of investment reports, large investor reports, RIA consolidated reports and other ad hoc investor reports.
  • Processes monthly, quarterly, or as needed investor entity creation or updates in Yardi IM, CRM (Altvia) platform coordinating with fund accounting and third-party administrator (Alter Domus).
  • Manages the onboarding of Joint-Venture entities and partners onto the Alter Domus portal.
  • Manges mail merging investor letters, uploading K-1's, quarterly investor summary of investment reports and investor documents to secure Alter Domus site.
  • Post Subscription documents, investor communications and other documents to fund administrator investor portal.

  • Assists with the review of all incoming investor subscription agreements to confirm all information is completed and KYC items included. Request additional items as needed for investor approval. Tracks commitments and money raised.

  • Thoroughly understands the terms of any offering, and ensures regulatory compliance and operating agreement/offering requirements are met throughout the life of an investment.
  • Enters investor account information into Master Investor Database/CRM. Ensures names and contact information are accurate and any changes are communicated effectively throughout the organization.
  • Prepare documents and reviews for accuracy and proficiency.
  • Process invoices and other documents via Adobe sign.
  • Assists with planning and coordinating annual investor dinner/virtual meeting and quarterly investor events with the assistance of marketing and IT teams.
  • Coordinates and facilitates investor assignment and assumption agreements to include approval of assignment from Grubb Fund Management or Managing Director Investor Relations, completion and full execution of assignment and assumption agreement forms, collecting assignee's photo ID, W-9 and banking information; submission of documents to fund accounting, fund administrator and updating CRM.
  • Tracks all investor updates to include changes in addresses/state of residency, banking updates, communication preferences and assignments. Ensures updates are recorded in Yardi, Alter Domus, CRM and communicated to our Fund Accounting team and tax accountants as needed.
  • Handle all matters confidentially and professionally.
  • Assist with additional special projects as needed.

  • Bachelor's Degree required, advanced degree preferred.
  • Three years' experience in the real estate industry, investment banking, accounting, or finance field; strong client relationship experience preferred.
  • Strong knowledge of investment terminology and understanding of financial reporting.
  • Must be very detail-oriented and organized, with emphasis on accuracy and completeness of task.
  • Ability to perform several tasks concurrently with ease and professionalism.
  • Excellent oral and written communication skills; strong ability to communicate with broad range of investors and senior team members
  • Excellent customer service and communications skills, team oriented, and professional.

  • Experience with Yardi, RealPage, or other property and/or investment management software is a plus.

  • Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Adobe (document manipulation), and internet research required.
