Position Summary
We are recruiting for a detail-oriented, organized, and tech-savvy
EHR Technical Project Coordinator
to join our team. This role will support workgroups focused on the current and future state of Electronic Health Record (EHR) systems.
In addition to project coordination, the successful candidate will assist with testing coordination, basic data compilation, and other project tasks as assigned. The ideal candidate will be comfortable handling multiple responsibilities, including administrative support, stakeholder communication, test planning, and data management. Strong collaboration skills, attention to detail, and a proactive mindset are essential.

$35 per hour
.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Meeting Coordination: Schedule and organize meetings for various workgroups; manage calendars and ensure appropriate documentation and follow-up.
- Administrative Support: Provide end-to-end administrative support including document preparation, communication management, task tracking, and note-taking.
- Testing Coordination: Assist the Testing Coordinator with planning, scheduling, and coordinating unit, system, and Integration testing efforts; track test results and follow up on issues and retesting.
- Collaboration Across Teams: Work closely with internal VDH teams as well as other external partners to ensure smooth execution of project goals; serve as a liaison between teams.
- Meeting Facilitation: Facilitate meetings, ensuring productive discussions, documentation of outcomes, and identification of action items.
- Critical Thinking & Problem Solving: Use analytical skills to anticipate project needs, troubleshoot issues, and identify practical solutions.
- Maintain Project Tools: Help manage project documentation, dashboards, and tracking tools using platforms such as Microsoft Teams, SharePoint, and Excel
- Other Duties as Assigned: Given the evolving nature of the EHR project, the Technical Project Coordinator must remain adaptable and responsive to changing priorities. This may include taking on new responsibilities as the project develops, such as supporting change management efforts, assisting with stakeholder engagement activities, contributing to documentation or training materials, or stepping in to fill temporary gaps in project roles. Flexibility, initiative, and a willingness to learn and grow in response to project needs are essential for success in this role.

Required Skills/Abilities:
- Experience in administrative, coordination, or project support roles.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint), Teams, and SharePoint.
- Ability to work independently and collaboratively with diverse stakeholder groups.
- Critical thinking skills and a proactive approach to task management.
- Willingness to travel occasionally within the state of Virginia.
Education and Experience:
- Experience with Electronic Health Records (EHR) systems.
- Familiarity with software/system testing coordination (e.g., scheduling, tracking outcomes).
- Background in healthcare/public health settings.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift and move up to 25 pounds at times.
- Standard hours of work Monday through Friday, 8:00 am – 5:00 pm.
- Travel may be required up to 10% of the time.
