Position Summary

The Allied Health Department (AHD) is seeking a detail-oriented
Case Management Coordinator.
The AHD works with our applicants who are seeking licensure as Physical Therapists and Physical Therapist Assistants. The Case Management Coordinator will
support departmental operations related to case management, applicant communication and advising, and application processing and documentation. This role serves as a key administrative and coordination position, ensuring accurate recordkeeping, timely communication, and effective support of physical therapy applicants.

Key Responsibilities

·      Assist the AHD with case management activities related to internationally educated physical therapy and physical therapy assistant applicants during the different stages of the application and evaluation

·      Process, track, and maintain application materials and physical and electronic records

·      Review documentation for completeness and accuracy; follow up on missing or incomplete information

·      Provide applicants with accurate guidance regarding application requirements, documentation, and processes as set by IERF, state boards and other relevant authorities

·      Communicate with applicants, and staff via email and in person

·      Organize, sort, carry, and file physical files as required

·      Maintain confidentiality and compliance with departmental and institutional policies

·      Use Microsoft Office applications (Word, Excel, Outlook, etc.) and the organizational database and portal for tracking, reporting, and correspondence

·      Perform other administrative and coordination duties as assigned

Required Qualifications

·      Associate's degree or higher from an accredited college or university

·      Fluency in English with strong written and verbal communication skills

·      Ability to clearly communicate complex requirements and procedures related to applications

·      High attention to detail and strong organizational skills

·      Strong customer service focus

·      Ability to sit for extended periods and to carry, sort, and organize physical files

·      Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe

·      Ability to work on-site in the office Monday through Friday

·      Authorized to work in the United States and the State of California without current or future sponsorship requirements

Preferred Qualifications

·      Familiarity with physical therapy and/or physical therapist assistant programs

·      Experience in healthcare, allied health, or academic administration

·      Bilingual or fluent in a second language

Work Environment & Physical Requirements

·      Office-based environment

·      Prolonged sitting and computer use

·      Occasional lifting, carrying, and organizing of physical files

Compensation

·      Hourly, full-time position (8 hours per day)

·      Compensation commensurate with experience and qualifications
