The Regional Operations Manager serves as the execution arm of the regional operational strategy, ensuring that all Dermacare clinics operate with consistency, efficiency, and excellence. This role implements systems, enforces SOPs, leads cross-location training and onboarding, manages the sales function (PCCs and PJC), supports first-line People Ops needs, and drives operational projects across multiple sites.
Working closely with the Regional Director, the Regional Operations Manager translates strategy into day-to-day operational reality—supporting location managers, coordinating with marketing, and ensuring the patient experience remains consistent and exceptional across all clinics.
PRIMARY RESPONSIBILITIES1. Operational Execution & Systems Management
- Implement, enforce, and maintain SOPs across all clinics.
- Ensure cross-location process consistency, compliance, and accountability.
- Attend on-site team meetings and trainings as the primary operations representative.
- Lead onboarding logistics and training execution for new staff using standardized checklists.
- Monitor and manage inventory processes region-wide, including ordering, expirations, and par-level adherence.
- Identify operational inefficiencies and implement corrective solutions.
- Handle attendance, call-outs, schedule changes, payroll submissions, and PTO approvals for PCCs, PJC, and location managers.
- Support location managers in first-line coaching, documentation, and developmental feedback.
- Participate in disciplinary meetings, terminations, and onboarding as needed.
- Serve as the day-to-day liaison to People Ops for routine HR matters.
- Partner with People Ops on performance improvement plans and documentation.
- Escalate high-level issues to the Regional Director as appropriate.
- Provide direct oversight of PCCs and PJC across all clinics.
- Lead weekly KPI huddles focused on conversion, follow-up, reactivation, and booking optimization.
- Conduct call audits, review script adherence, and ensure proper utilization of lead-management workflows.
- Implement standardized sales SOPs and maintain sales dashboards and reporting tools.
- Collaborate closely with the Marketing Director to align sales execution with marketing strategy and campaign flow.
- Support ongoing coaching, training, and consistency of the patient engagement and sales process.
- Track and manage all operational projects across clinics from planning through execution.
- Own timelines, communication flow, and accountability for project deliverables.
- Prepare operational readiness for new service launches, expansions, or integrations.
- Ensure smooth coordination between operations, marketing, sales, and clinical teams for all initiatives.
- Lead through influence, systems, and process.
- Maintain strong relationships with Regional Director, Location Managers, providers, marketing, and AP partners.
- Drive accountability through consistent follow-up and structured implementation.
- Model professionalism, reliability, and operational discipline.
- Maintain confidentiality and uphold People Ops and compliance standards.

QUALIFICATIONS
- Bachelor's degree in Business, Healthcare Administration, Operations, or related field preferred (not required).
- 3+ years of operational experience in medical aesthetics, med spa, dermatology, retail healthcare, or multi-site services.
- Demonstrated success implementing SOPs and driving operational consistency.
- Experience overseeing sales or patient-experience staff strongly preferred.
- Strong organizational, analytical, and process-development skills.
- Excellent communication skills and ability to manage change across teams.
- Proficiency with scheduling systems, CRM/lead management platforms, inventory systems, and productivity tools.
- Ability to travel regularly across regional clinics.
- Prolonged computer use and administrative work.
- Regular travel between clinic locations.
- Ability to lift up to 25 pounds for occasional inventory or equipment handling.
- Frequent participation in clinical and office environments.
