About the Role:
The Sales & Catering Coordinator plays a pivotal role in driving the success of our business by managing and coordinating sales and catering activities. This position is responsible for fostering strong client relationships, understanding customer needs, and delivering tailored event solutions that exceed expectations. The coordinator will collaborate closely with internal teams to ensure seamless execution of events, from initial inquiry through to completion, maintaining high standards of service and operational efficiency. By effectively managing bookings, contracts, and communications, the role contributes directly to revenue growth and customer satisfaction. Ultimately, the coordinator ensures that every event is executed flawlessly, enhancing the reputation and profitability of the organization.
Minimum Qualifications:
- High school diploma or equivalent required; associate degree or higher in hospitality, business, or related field preferred.
- At least 1 year of experience in sales, catering coordination, or event planning within the accommodation and food services industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with event management or CRM software.
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Bachelor's degree in Hospitality Management, Business Administration, or a related field.
- Experience working in a hotel, conference center, or catering company environment.
- Familiarity with sales and catering software such as Delphi, Salesforce, or similar platforms.
- Demonstrated ability to upsell and negotiate contracts effectively.
- Knowledge of food and beverage operations and event logistics.
Responsibilities:
- Manage incoming sales inquiries and provide detailed information about catering and event services to prospective clients.
- Coordinate and schedule catering events, ensuring all client requirements are accurately captured and communicated to relevant departments.
- Prepare and send proposals, contracts, and event orders, maintaining meticulous records of all sales activities and client communications.
- Collaborate with culinary, service, and operations teams to ensure event logistics are planned and executed according to client expectations.
- Maintain and update the sales database, track leads, and follow up on potential business opportunities to maximize sales revenue.
- Assist in the development and implementation of sales strategies and marketing initiatives to attract new clients.
- Provide exceptional customer service by addressing client questions, concerns, and special requests promptly and professionally.
- Support post-event activities including feedback collection, billing coordination, and reporting on event outcomes.

Strong communication skills enable the coordinator to interact professionally with clients and internal teams, ensuring clarity and satisfaction. Organizational skills are critical for juggling multiple events and deadlines, maintaining accurate records, and coordinating logistics seamlessly. Proficiency with software tools supports effective tracking of sales leads, event details, and client communications, enhancing productivity and accuracy. Additionally, negotiation and customer service skills help maximize revenue opportunities while fostering positive client relationships that encourage repeat business.
