Position Summary

The Education Operations Specialist reports to the Senior Director of Program Development and Education and plays a crucial role on the Program Development and Education team, providing essential administrative and tactical support for Apprenti's apprenticeship related technical instruction (RTI) training. This position directly supports senior managers in scheduling, coordination, delivery, and reporting, ensuring the effective execution of registered apprenticeships and related activities.

The Education Operations Specialist will collaborate closely with Business Development, Compliance, and Program Operations teams. They are responsible for maintaining efficiency, optimizing costs, and upholding the quality of training initiatives from inception to completion.

Key Responsibilities

Program Coordination & Management:

  • Assist with scheduling, coordination, delivery, and reporting for RTI cohorts.
  • Manage timelines, ensure projects stay on schedule, supervise work, and contribute to continuous improvement.
  • Support the full lifecycle of Apprenti's RTI training programs, including training partner selection, curriculum development, and delivery facilitation.
  • Collaborate with internal teams to promote classes and manage communications for registrations and cancellations.
  • Establish and maintain relationships with training providers.
  • Process requests for prior learning credit and assist with training provider contracts and RFPs.

Instructional & Quality Support:

  • Provide essential technical assistance to instructors and Teaching Assistants.
  • Assist with annual curriculum planning.
  • Ensure proper documentation of apprentice progress and transcripts.
  • Identify and help resolve curriculum alignment issues.
  • Procure necessary training materials.

Data Management & Reporting:

  • Compile and present timely data, including weekly projections and status updates.
  • Monitor survey data, evaluate apprentice feedback, and maintain confidentiality of apprentice information.
  • Track RTI completion results and attendance, assist Apprenti program staff with maintenance of apprentice records.
  • Ensure timely apprentice progress by overseeing enrollment and registration.
  • Maintain class rosters and track training provider performance.
  • Manage data entry in Salesforce and the LMS.
  • Use data to improve apprentice outcomes.

Communication & Collaboration:

  • Facilitate effective cross-departmental communication to implement apprenticeship training.
  • Proactively identify ways to improve efficiency and reduce costs.
  • Ensure seamless program launches through stakeholder communication.
  • Provide prompt responses to inquiries and escalate issues as needed.
  • Share findings and best practices.
  • Serve as the main point of contact for LMS system troubleshooting.

Key Skills & Competencies

  • At least 5 years of relevant professional experience in post-secondary education.
  • At least 3 years of experience administering or coordinating with Registered Apprenticeship and educational training programs.
  • Demonstrated experience and understanding of adult learning principles, education, and training program development.
  • Exceptional communication abilities, with the ability to communicate concisely with a wide range of individuals and teams using a variety of methods/tools.
  • Strong interpersonal skills, enabling professional and confident interactions with individuals from all backgrounds and exhibiting a strong professional presence.
  • A proactive and continuous learner committed to professional growth.
  • Highly self-motivated with a strong sense of initiative, capable of independent and effective operation with minimal supervision.
  • Proficient technical skills, with the ability to quickly learn and effectively utilize new technologies and tools, including Salesforce, Notion, Absorb LMS, and Microsoft Office Suite.
  • High integrity and trustworthiness, with the ability to maintain confidentiality, and consistently fulfill commitments.

Physical Duties & Work Environment:

  • Remote work in a largely virtual environment
  • Ability to sit/stand at a computer for extended periods of time
  • Ability to take phone calls and video calls throughout the day with internal and external clients
