About the position

We are looking for a full-time Care Coordination Specialist to join our front office team. This is a hybrid role focused on case management, patient accounts, billing support, scheduling, and community outreach. The ideal candidate is someone who is organized, proactive, and enjoys both client interaction and behind-the-scenes coordination work. This position also serves as backup support for the front desk when needed.

Schedule: Monday–Thursday, 8:30 AM – 12:30 PM and 1:30 PM – 6:30 PM (1-hour lunch break); Friday, 8:00 AM – 12:00 PM.

A few job functions you can expect from this position:

  • Providing case management support such as coordinating care and connecting clients to resources
  • Managing patient accounts, collecting payments, and reviewing outstanding balances
  • Scheduling therapy, psychiatry, and group appointments
  • Communicating with referral sources, community partners, schools, and outside providers
  • Supporting community outreach and relationship building with local agencies
  • Assisting the billing team with verifying insurance eligibility, checking benefits, collecting patient payments
  • Serving as back-up for check-in/check-out coverage as needed

Requirements:

  • Minimum 2 years of billing experience in a healthcare setting
  • Experience with verifying insurance eligibility, submitting claims, and working accounts receivable (AR)

Skills Needed:

  • Strong communication and de-escalation skills, especially when discussing billing and account concerns with clients
  • Outgoing and personable demeanor for developing relationships with community resources and providers
  • Comfortable discussing insurance billing and financial responsibilities with clients
  • Sensitivity to client needs and a willingness to go above and beyond to support them—whether that means resolving their concern directly or helping them connect to the right resource
  • A team-first mindset and the ability to pitch in wherever needed to support smooth operations and client satisfaction
  • Familiarity with CPT codes and general medical billing practices
  • Ability to multi-task, prioritize duties, and maintain professionalism in a fast-paced environment
  • Proficient with EHR systems, multi-line phones, texting systems, Microsoft Word, and Excel
