Position Overview

We are a fast-paced food distributor and wholesale company seeking a detail-oriented Accounts Receivable (AR) Clerk to manage customer billing, collections, and payment follow-ups. The ideal candidate will be organized, proactive, and comfortable communicating with customers' accounting teams to ensure timely payments and accurate records.

Key Responsibilities

  • Generate customer statements and invoices according to each customer's payment terms and order history.
  • Send statements and invoices to customers' Accounts Payable departments via email or other approved channels.
  • Confirm receipt of statements and maintain accurate communication logs.
  • Follow up with customers by phone or email to confirm payment status and ask when checks will be ready.
  • Coordinate with company drivers to arrange check pickups from customer locations.
  • Record and apply payments accurately in accounting software once received.
  • Maintain and organize AR files, both digital and paper-based, for invoices, statements, and payment records.
  • Assist with month-end reconciliations and reporting as needed.
  • Support other accounting or administrative tasks to ensure smooth office and delivery operations.

Qualifications

  • High school diploma or equivalent required; associate degree in accounting, business, or finance preferred.
  • 1–3 years of AR, billing, or accounting experience — food distribution or wholesale industry preferred.
  • Proficient in Microsoft Excel, Outlook, and accounting software (QuickBooks, Sage, or similar).
  • Strong attention to detail, accuracy, and follow-through.
  • Excellent communication skills for working with customers and internal teams (drivers, sales, warehouse).
  • Ability to manage multiple accounts and prioritize tasks in a busy environment.
  • Bilingual (English/Chinese or English/Spanish) is a plus.
