What We Are Looking For:

A Purchasing & Inventory Lead to manage day-to-day purchasing, inventory, and vendor coordination for our California operations. This role supports warehouse organization, procurement, and light AP reconciliation — ensuring materials are ordered, received, and recorded accurately to keep projects running smoothly.

The ideal candidate is detail-oriented, logical, and proactive — someone who enjoys solving problems, reconciling data, and maintaining clear, accurate records. Experience with inventory systems, purchasing, or vendor management is required; curiosity, consistency, and accountability are key.

Duties and Responsibilities:

Purchasing & Vendor Coordination (California Location)

  • Create and manage purchase orders for California projects and warehouse stock.
  • Verify pricing, availability, and delivery timelines with approved vendors.
  • Track order status, shipments, and delivery confirmations..
  • Reconcile received items and vendor invoices against purchase orders & invoices to ensure accuracy before payment.
  • Work with Finance/AP to resolve discrepancies, credits, or missing invoices.
  • Record and reconcile one-off purchases made on employee credit cards, ensuring items are properly coded and entered into the accounting software
  • Light Accounts Payable - preparation, audit, and organization of vendor statements, credit card transactions for payment or reconcilation
  • Maintain organized purchasing and vendor records for clear audit trails.

Warehouse Operations

  • Receive and inspect deliveries; verify contents and record them accurately in the inventory system.
  • Maintain up-to-date inventory records and conduct regular stock counts, resolving discrepancies as needed.
  • Stage equipment for projects and record all outgoing shipments promptly and accurately.
  • Keep stock organized and properly labeled in designated areas.
  • Track all equipment movement between the warehouse and job sites; ensure technicians follow checkout protocols.
  • Process RMAs and returns per vendor and company procedures.
  • Communicate regularly with the Purchasing Manager, Billing, Installation, and Sales teams regarding all California inventory activity.

Administrative/On Site:

  • Deliveries and Parts Runner: Provide job site deliveries or act as a parts runner on an as-needed or occasional basis.
  • Housekeeping: Maintaining cleanliness and organization within the office space and warehouse
  • Handle phone calls, take messages, and route escalated calls to the appropriate team members (Operations Manager, Service Coordinator, Sales Team)
  • Receive and distribute incoming mail and notices to team members.

Experience - 2+ years in logistics, purchasing, inventory management.

  • Self-starter with an investigative spirit - driven to problem solve inventory issues through tracing equipment movement, utilizing software and any other available tools to resolve discrepancies - ready to tackle any problem
  • Experience in working in logistics and/or warehouse services
  • Proficiency in logistics, purchasing, or inventory software, or demonstrated ability to quickly learn and navigate new systems
  • Exceptional organizational and analytical skills
  • Team player and good communicator
  • Preferred experience or knowledge of Residential Home Technology products, systems, and industry
  • High School Diploma or GED Required

Physical Requirements

  • Ability to regularly lift objects over 50lbs
  • Ability to bend, kneel, squat, or stand for extended periods of time
