The Federal Emergency Management Agency (FEMA) requires technical assistance in support of the Hermit's Peak/Calf Canyon Claims Office (Claims Office).

Responsibilities

The Advanced Administrative Support shall provide support for operational areas that include, but are not limited to:

  • Claimant intake, query and collection of requisite supporting documentation.
  • Issue Letters of Determination within 90 days after acknowledging a Notice of Loss, but no later than 180 days from such acknowledgment.
  • Follow established guidance, policies, and procedure to provide objective evaluation of claims and provide subject matter expert reports.
  • Conduct site inspections.
  • Review submissions of comprehensive proofs of loss, claimant inquiries, review requested amounts, establish qualified amounts, assess duplication of benefits and provide comprehensive recommendations for maximum compensation determinations.
  • Ensure compensation is not duplicated with benefits provided by other applicable programs, including but not limited to Public Assistance Programs, Individual Assistant program, and other programs.
  • Take all steps, including but not limited to, providing claimant support, identifying all potential losses for compensation, and make full use of standard rate calculators to maximize compensation to claimants within the extent of the law.
  • Quality Control: notify Claims Reviewer of any items in the claim that require rework, additional documentation, or updated compensation determination.
  • Execute a claimant-centric process that puts customer service first, continually increases efficiency and effectiveness, and compiles with respective policy and guidance.
  • Provide professional and technical services supporting the Hermit's Peak/Calf Canyon Claims Office.

Qualifications

The Advanced Administrative Support shall meet the following job requirements:

  • Minimum Education Level: High School diploma (Bachelor's preferred).
  • Level I - minimum of five (5) years of combined experience in claim/case processing roles including customer service, data entry, reviewing, and evaluating various types of disaster related losses.
  • NFIP Certified (National Flood Insurance Program) preferred.
  • Policy Interpretation: Ability to understand and interpret complex federal policy language, including relevant statutes, regulations, policies, guidance, and directions.
  • Technical Knowledge: Disaster-related knowledge and background to accurately assess losses, damages, repairs, and replacement costs.
  • Clear and Effective Communication: Customer service, excellent written and verbal communication skills and knowledge and ability to explain policy and regulations to claimants, FEMA staff, and other stakeholders.
  • Use of Technology: Proficiency in using claims management software, databases, and other technology tools that facilitate claim processing, documentation, and communication.

Place of Performance

The Advanced Administrative Support personnel shall perform duties on site at Joint Recovery Office in Santa Fe, New Mexico. Any positions requiring on-site support should anticipate travel/deployment to government authorized locations within the following counties in New Mexico: San Miguel County, Mora County, Santa Fe County, Taos County, Sandoval County, Rio Arriba County, and/or Colfax County, and all other surrounding counties affected by the Hermit's Peak/Calf Canyon Fire. Personnel may also work from their Residence of Record or other location as directed by Contracting Officer. Actual work locations will be determined based on tasks being performed. Occasional travel may be required.

Hours of Operation

The Advanced Administrative Support shall perform duties Monday through Friday between 8:00 a.m. - 5:00 p.m., daily, except U.S. Federal Holidays. Some overtime may be required with approval.

Security

Employment is contingent upon the ability to pass the pre-employment drug test and a federal security investigation (background check) in order to obtain the federal clearance required for the position prior to start date. The background investigation reviews employment, criminal, financial, and personal history to ensure there are no outstanding violations. Applicants must be a U.S. Citizen to work in support of a federal agency.

All employees working under this contract shall be identified by a distinctive corporate/company name plate, emblem, or patch attached in a prominent place on an outer garment. Contractor personnel performing under the terms of this contract shall identify themselves as a Contractor in all communications, oral or written, while performing services under this contract. At no time shall the Contractor personnel assigned to this contract represent themselves as a FEMA employee or an official representative of FEMA.

Professionalism, Responsiveness, and Quality

The Advanced Administrative Support must demonstrate the following abilities: Sound judgment, foresight, and problem solving skills, possess excellent oral and written communications, and customer service skills, able to adapt to fast-paced work/office environment with accuracy under pressure, demonstrated competency managing schedules, documentation, and automated systems, demonstrate leadership, excellent research and data gathering skills and ability to interpret/analyze complex information, ability to work independently within the bounds and guidelines of the contract requirements and client, knowledge of and experience using the Microsoft Office Suite, and the ability to work and communicate with diverse group of customers and clients within and outside the Federal Government. All personnel are required to wear the prescribed uniform or professional attire while on duty. They shall maintain a clean and neat appearance and not wear dirty or wrinkled clothing. The goal is to present a positive image to the public.

The Advanced Administrative Support must present a professional demeanor at all times while on site and shall treat all persons with courtesy and respect; striving to earn positive feedback of customers.

Any notification from Government to Montech notifying that the employee has compromised the security requirements will warrant immediate termination from employment on the contract.
