Scheduling Coordinator

We are seeking a detail-oriented and highly organized Scheduling Coordinator to join our statewide operations team. This role is critical in ensuring our patients are properly scheduled, confirmed, and prepared for their appointments across multiple medical specialties.
The ideal candidate thrives in a fast-paced, phone-heavy environment, excels at patient communication and education, and takes pride in accuracy and follow-through. Experience in Workers' Compensation—in either a medical or legal office—is highly preferred.
Key Responsibilities:
- Manage high volumes of incoming and outgoing calls, texts, and emails to confirm appointments statewide
- Educate patients on appointment details, preparation requirements, and necessary documentation
- Ensure all communications and confirmations are thoroughly and accurately documented in the patient's electronic health record (EHR)
- Work closely with physicians, clinics, and diagnostic staff to coordinate complex scheduling needs
- Track deadlines and ensure compliance with state and regulatory timelines
- Monitor appointment reports and follow up promptly on unconfirmed or rescheduled cases
- Communicate professionally and effectively with patients, providers, and referral sources
- Contribute to a team-oriented, deadline-driven environment
Qualifications:
- Minimum 1 year of experience in a scheduling, coordination, or administrative role (medical or legal office preferred). Preferred but will consider other rock star candidates
- Must be comfortable making phone calls and discussing appointment details over the phone in addition to text and email correspondence
- Exceptional phone etiquette and written communication skills
- Proficiency in EHR systems, scheduling software, and Microsoft Office Suite or Google Workspace
- Excellent attention to detail and ability to multitask effectively
- Strong sense of accountability and dedication to meeting deadlines
- Must be dependable, self-motivated, and capable of working both independently and collaboratively
