Job Summary

We are seeking an energetic and detail-oriented Dispatch Assistant to join our dynamic team. In this vital role, you will coordinate transportation activities, manage freight shipments, and support our logistics operations using advanced transportation management systems. Your proactive communication skills and technical expertise will ensure seamless dispatching processes, contributing to efficient supply chain management and customer satisfaction.

Duties

  • Job Summary

The Dispatch Assistant supports the dealership's service and operations team by coordinating work orders, assisting with technician scheduling, and ensuring efficient workflow throughout the service department. This role is critical in maintaining organization, communication, and timely completion of service jobs.

Key Responsibilities

  • Assist the dispatcher in assigning repair and service jobs to technicians based on skill level, availability, and workload
  • Prepare, track, and update repair orders and work orders in the dealership management system (DMS)
  • Monitor job progress and communicate status updates to service advisors and management
  • Coordinate vehicle movement within the dealership (service bays, parking, wash, delivery)
  • Ensure technicians have the necessary information, parts, and documentation to complete assigned work
  • Help prioritize jobs to meet customer deadlines and dealership efficiency goals
  • Communicate with parts and service departments to avoid delays
  • Maintain accurate records and documentation for completed and pending jobs
  • Support general administrative tasks within the service department as needed

Experience

  • High school diploma or equivalent (required)
  • Previous dealership, automotive, or dispatch experience preferred
  • Strong organizational and time-management skills
  • Ability to multitask in a fast-paced environment
  • Clear communication and teamwork skills
  • Basic computer skills and familiarity with dealership management systems (preferred)
  • Attention to detail and problem-solving ability
