United States Gray Operations Group, Inc. Full time $80,000 - $90,000 per year

POSITION OVERVIEW:

Gray Operations Group is seeking a detail-oriented and proactive Financial Analyst to support our mission of delivering efficient, client-focused business operations. This fully remote role is responsible for ensuring accurate and timely communication, maintaining precise accounting records, and fostering strong communication with both clients and internal teams. The Financial Analyst will be responsible for ensuring accurate and timely client accounting transaction recording and invoicing, while maintaining strong communication with clients and internal teams. This role is responsible for multiple layers of the billing process, assisting with accounts receivable tracking and collections, recording accounts payable and banking transactions within accounting systems, and completing select administrative tasks to support finance and program management functions. With a high attention to detail and a commitment to process accuracy, this role proactively identifies and escalates potential finance, accounting and invoicing issues, ensuring prompt resolution.

CORE RESPONSIBILITIES:

Accounts Payable and Receivable Support (35%)

  • Monitor accounts payable and receivable aging reports, track payment statuses, and follow up on overdue balances in accordance with established procedures.
  • Submit customer payments within the account system for approval.
  • Communicate directly with clients to resolve payment delays or discrepancies.
  • Assist in reconciling customer accounts to ensure payment accuracy and completeness.

Billing Coordination (30%)

  • Prepare accurate client invoices in accordance with contract terms, including supporting documentation such as time reports and project summaries.
  • Review billing data for accuracy and compliance, flagging discrepancies or potential issues for supervisor review.
  • Maintain organized records of all billing activity to support audits, reconciliations, and client inquiries.

Program Control Support (15%)

  • Work closely with Program Control team to facilitate work authorizations for staff
  • Assist with PTO, flex and overhead assignments for customers
  • Assist with reviews of spend plans and program management review slides; with goal to take ownership on temporary basis during staff absences as needed
  • Review various contract and pricing documents as needed; assist with modification reviews

Payroll/Employee Support (10%)

  • Manage employee life cycle by establishing new accounts, enter labor categories, terminate accounts, and export timesheets within accounting system.
  • Manage and communicate with employees on missing or incomplete timesheets to ensure proper processing of accounting, billing, and payroll functions.
  • Generate payroll reconciliation bi-weekly between accounting and payroll systems.
  • Generate retirement reconciliation bi-weekly between payroll and retirement systems.

Administrative Support (10%)

  • Act as main point of contact for Finance and Program Management functions and providing prompt support to client needs.
  • Assist with the management of SharePoint folders to increase usage and efficiency as Gray Operations Group matures.
  • Assist to finance and program management teams in maintaining records, processing timekeeping adjustments, preparing reports, and other tasks as assigned.
  • Support internal and client-facing meetings by preparing documents, updating trackers, and coordinating follow-up actions

Knowledge/Skills Required:

  • Familiarity with government and commercial contract structures, including standard billing terms and compliance requirements.
  • Understanding of accounting principles, including accounts receivable and accounts payable processes and invoice documentation.
  • Strong proficiency in Microsoft Excel (formulas, pivot tables, data validation), SharePoint and Microsoft Office Suite.
  • Ability to follow detailed instructions precisely while maintaining accuracy under deadlines.
  • Strong verbal and written communication skills, with professionalism in client-facing interactions.
  • Organized and self-motivated, with the ability to manage multiple tasks and maintain follow-up until resolution.
  • Proactive in identifying potential issues and escalating appropriately.

Level of Autonomy/Decision Making Responsibility:

This position operates with a moderate level of autonomy. The Financial Analyst reports to the internal CFO, which will have final review of more complex tasks and requests yet will be responsible for day-to-day tasks and decisions for our clients. This will require a solid understanding of accounting procedures and standards. The Financial Analyst will have full autonomy on routine tasks and ongoing oversight and collaboration with their supervisor. The level of autonomy in this position will gradually increase as expertise and specific client knowledge grows.

Required Qualifications:

  • Minimum of a BS in Business Administration
  • Minimum of 5 (five) years' experience in government contracting billing, accounts receivable, accounting support, payroll, or a related administrative finance role
  • Prior experience with Cost Plus, Fixed Price and T&M (Time and Materials) contracts and billing.
  • Ability to successfully complete a background check

Preferred Qualifications:

  • Prior experience with Unanet ERP, Deltek CostPoint, or other government contracting ERP.
