Are you a compassionate, detail-oriented professional who enjoys helping both people and pets? Our busy AAHA accredited and Feline Friendly certified veterinary clinic is seeking a Customer Service Advocate (CSA) to provide high-level administrative and client communication support. This position plays a key role in ensuring smooth daily operations and delivering exceptional client care by acting as the bridge between clients and our medical team.

What You'll Do

Client Communication & Coordination

  • Prepare and send treatment plans and cost estimates as directed by veterinarians or clinic protocols.
  • Contact clients about past-due vaccines, preventive care reminders, and follow-up appointments.
  • Monitor incoming calls, texts, and emails — ensuring every client inquiry is addressed or routed appropriately.
  • Provide compassionate surgery and procedure updates to clients.
  • Respond to general client questions and requests, escalating medical inquiries to the appropriate doctor or technician when needed.
  • Accurately document all communications, estimates, and approvals in patient medical records.
  • Coordinate prescription requests, obtaining veterinarian approval and preparing paperwork for client pickup or pharmacy submission.
  • Maintain a professional and positive tone in every client interaction.

Administrative Support

  • Track open tasks and delegate appropriately to ensure timely completion.
  • Collaborate with doctors and technicians to ensure client needs are met efficiently.
  • Assist with general administrative and customer service duties to support the clinic team.

What We're Looking For

  • Previous veterinary, medical, or customer service experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities with a sharp attention to detail.
  • Comfortable working with computers, scheduling systems, and email.
  • Calm, professional, and compassionate under pressure.
  • Reliable, adaptable, and team-oriented.

Work Environment

  • Fast-paced veterinary clinic setting with frequent client communication.
  • Multitasking across phone, text, email, and in-person interactions.
  • Some weekend or extended-hour shifts may be required.
  • Confidentiality and professionalism are expected at all times when handling client, patient, or financial information.
