EDUCATION AND WORK EXPERIENCE

  • High School Diploma or GED required.
  • One to three years of demonstrated secretarial experience required.
  • Experience with MS Word, MS Excel, MS Access, MS Publisher, etc. required.

QUALIFICATIONS

  • Ability to perform secretarial/administrative duties.
  • Proficient computer skills, including word processing and database, required, and experience with Oracle or similar software.
  • Working knowledge of office practices and procedures.
  • Maintains appointment calendar and schedules appointments/meetings for staff when required.
  • Consistent communication with supported specialists regarding progress of short and long-term tasks.
  • Ability to exercise sound judgment, tact, and courtesy while managing difficult or emotional situations; respond promptly to parents' and specialists' needs; respond to requests for service and assistance; meet commitments.
  • Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; responds competently to questions.
  • Ability to read and interpret documents such as procedure manuals.
  • Write clearly and informatively; edit and proofread work for spelling and grammar; able to read and interpret written information.
  • Ability to write routine memorandums and correspondence.
  • Ability to maintain administrative records and prepare routine reports from such records.
  • Ability to carry out instructions in written, oral, or diagram form.
  • Ability to follow instructions, respond to management direction; completes tasks on time or notifies supervisor with an alternate plan.

ESSENTIAL JOB FUNCTIONS

  • Screen incoming calls and correspondence and respond when necessary.
  • Prepare memorandums and other documents as needed.
  • Assist in arranging programs and events.
  • Initiate, manage, and maintain financial records when necessary.
  • Assist with all matters concerning the operation and functions of the Office of Teaching and Learning.
  • Direct preparation of records of all meetings.
  • Act as custodian of documents and records.
  • Distribute mail.
  • Create and maintain official records and files.
  • Perform related duties as assigned.

ENVIRONMENTAL FACTORS & PHYSICAL REQUIREMENTS

The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard. The employee frequently is required to sit, reach with hands and arms, talk, and hear.
