Louisville Spine & Wellness is looking to fill a long-term position in a fun office environment supporting our vision to bring a new level of health to the people in our community We are hiring a part-time Patient Care Coordinator. This is a hybrid role that involves sales, administrative and patient care responsibilities. This professional is specifically focused on promoting and selling care packages and medical services and is a key driver of revenue and growth for the organization.
Job description
A patient care sales coordinator's duties involve direct patient interaction, sales execution and administrative organization.
Sales and patient engagement:
- Promote and sell packages: Educate prospective and existing patients on available care packages, treatments, products, and services to meet their health goals. Meet established sales quotas.
- Conduct consultations: Use a consultative sales approach to understand patient needs and provide tailored recommendations.
- Follow up on leads: Track sales leads and follow up on inquiries via phone, email, and other communication tools.
- Build relationships: Develop strong, long-lasting relationships with patients to encourage repeat business and ensure high satisfaction.
- Track performance: Analyze and report on sales performance to help develop new strategies and promotions.
Care Coordination and Administration:
- Manage patient intake: Assist with patient intake processes, including scheduling appointments, updating records and managing paperwork if needed.
- Create a positive patient experience: Welcome patients, provide office tours for new patients, answer questions, manage patient flow, coordinate procedures.
- Coordinate with clinical staff: Serve as a liaison between the patient, the clinical staff, and the sales team to ensure a seamless and positive patient experience.
- Communicate billing and insurance: Help patients understand billing as it pertains to treatment plans, billing questions, and payment options.
- Maintain patient records: Ensure all patient information, sales data, and documentation are accurate and up-to-date in the electronic medical record (EMR) or CRM system.
- Ensure compliance: Adhere to HIPAA and other healthcare regulations to protect patient privacy and confidentiality.
Essential Skills and Qualifications
- Sales aptitude: A proven track record in sales with the ability to understand client needs and close sales. Experience in a healthcare or wellness environment preferred.
- Healthcare/Wellness Focus: High energy and enthusiasm for helping people improve their health by setting and meeting goals.
- Excellent communication: Strong verbal, written, and interpersonal skills to effectively communicate complex information to patients and families.
- Medical knowledge: Familiarity with medical terminology and a solid understanding of the services or care packages being offered.
- Organizational skills: Strong attention to detail and the ability to multitask and manage competing priorities in a fast-paced environment.
- Computer proficiency: Experience with customer relationship management (CRM) software and electronic medical records (EMR) is essential.
- Empathy and compassion: The ability to communicate with patients and families in a compassionate, empathetic, and professional manner, especially during stressful times.
Hours
- Part-time
- Our offices are open Monday-Thursday 9am-6pm, Friday 9am-1pm, Saturday 8am-Noon.
- You will not work all of these hours, but you must have open availability to work any shift within these hours. You may have to work a little earlier/later as needed.
- The current typical work week is day shift on Mondays, Tuesdays and Thursdays. An occassional Saturday may be needed.
Qualifications
- Experience in the wellness, healthcare, fitness or med spa industry preferred.
- High school or equivalent required. Some college or Associate's Degree in Business, Marketing or Health Sciences preferred.
- Two years' experience in consultative sales and/or sales roles.
- Experience with setting and reaching quotas required.
- Intermediate computer proficiency with Patient Record and Scheduling Systems as well as Microsoft Office (including: Word, Excel, Outlook, and Google Drive) required.

Pay: From $22.00 per hour
Expected hours: 20 – 25 per week
