Position Summary
The Product Coordinator collaborates with internal Creative, Sales, Supply Chain, and Marketing teams to launch new products across Convivial Brands product lines. This role ensures product data accuracy, consistency, and completeness across systems and platforms while coordinating the full product lifecycle—from item setup through catalog release. The Coordinator will gain hands-on experience working with well-known customers, vendors, and internal teams in a dynamic and fast-paced environment.
This is a full-time on-site position based at our corporate headquarters in Grand Rapids, Michigan.
Principal Duties and Responsibilities:
Product Coordination & Data Integrity
- Serve as the primary owner for gathering, uploading, and maintaining all product information within the NAV system, ensuring data accuracy, completeness, and consistency across the organization.
- Enter, maintain, and audit product data across internal systems (Trello, spreadsheets).
- Ensure all product attributes (costs, dimensions, descriptions, weights, pack sizes, UPCs, etc.) are complete and accurate.
- Generate creative UPCs as needed.
- Assign unique Item Numbers for all SKUs.
- Create and maintain KIT Bills of Materials (BOMs).
- Perform data validation checks and audits to ensure accuracy across platforms.
- Proof and validate catalog content for product accuracy.
- Document and maintain SOPs for product data integrity processes.
Cross-Functional Collaboration
- Create and manage the release calendar to ensure deadlines are met across departments.
- Partner with Marketing, Supply Chain, and Sales to ensure product data accuracy for catalogs, websites, and customer systems.
- Collaborate with Product Line Managers on lifecycle management, vendor quote documentation, and line list maintenance.
- Partner with Creative to track product samples, approvals, and changes.
- Partner with Supply Chain to align product data with sourcing, packaging, and logistics.
- Work with Verdant Graphics to upload print files and create production data merges.
- Communicate updates and corrections promptly to stakeholders.
- Support Director of Key Accounts and Operations with PO readiness.

QualificationsRequired/Desired Qualifications:
Education & Experience
- High school diploma or equivalent required
- Bachelor's degree in Business Administration, Marketing, Product Development, Merchandising, or related field preferred.
- 1-3 years project coordination required; product experience a plus.
- 1-3 years customer relationship experience, account management, or customer service preferred.
- 1–3 years of experience in consumer-packaged goods, product development, or merchandise work preferred (gift/home or similar industry a plus).
Skills & Abilities
- Strong attention to detail with proven ability to manage large data volumes accurately.
- Proficient in Microsoft Excel, PowerPoint, and general Microsoft Office.
- Comfortable with data entry, validation, reporting, and ERP systems (NAV preferred).
- Ability to learn and master database/software applications quickly.
- Strong organizational, analytical, and problem-solving skills with high sense of urgency.
- Excellent written/verbal communication and ability to work across functions.
- Ability to thrive in ambiguity, adjust to new processes, and work independently in a fast-paced environment.
- General understanding of profitability and margin requirements.
- Ability to build strong, trusted relationships internally and externally.
- Collaborative team player with ability to connect across all levels of the organization.
