Casa Familiar (Casa) was founded in 1973 and is a 501(c)(3) community-based organization dedicated to serving residents in South San Diego County and specifically the border community of San Ysidro.

POSITION OVERVIEW:
The Director of Operations Optimization is a strategic leader responsible for improving organizational performance, efficiency, and cross-departmental coordination throughout Casa Familiar. This position strengthens alignment between divisions—including Property and Asset Management, Community Development, Programs, Facilities, Finance, and Administration—to ensure Casa operates effectively, sustainably, and in full support of its mission.
Reporting to the Asset & Property Operations Officer, the Director plays a key role in evaluating processes, streamlining workflows, and leading continuous improvement initiatives that enhance collaboration, accountability, and resource utilization across the organization. The position partners with senior leadership to turn strategic priorities into measurable, actionable outcomes that support both operational and community impact goals.
Real Estate Portfolio & Pipeline:
Casa's housing portfolio consists of several affordable multi-family complexes, community facilities and commercial space, located in the southern portion of San Diego County. Its portfolio includes several large affordable housing complexes in which Casa is the managing general partner. Casa Familiar manages a scattered site portfolio of smaller affordable housing complexes
for which it is the sole owner. Casa also operates several community facilities including office space and recreational facilities owned by the City of San Diego. Casa Familiar has a pipeline of projects and is scaling existing capacity for considerable growth.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Organizational Optimization & Process Improvement – 50%
- Evaluate and document existing workflows and procedures across departments to identify inefficiencies and improvement opportunities.
- Lead process improvement initiatives that strengthen communication, eliminate redundancies, and reduce delays in service delivery.
- Develop, implement, and maintain clear Standard Operating Procedures (SOPs) across all operational areas.
- Collaborate with leadership to align day-to-day operations with Casa's strategic plan, funding requirements, and compliance standards.
- Facilitate interdepartmental coordination for organization-wide initiatives and operational priorities.
- Establish and track performance indicators (KPIs) to monitor efficiency, quality, and impact.
- Recommend improvements to internal communication, reporting, and workflow management.
- Support staff development through training and coaching on improved processes and best practices.
- Continuously monitor and assess process changes to ensure effectiveness and sustainability.
Asset Management & Administrative Oversight – 20%
- Collaborate with Asset & Property Management teams to monitor property performance, cash flow, and compliance with regulatory requirements.
- Analyze financial and operational data to identify underperforming assets and recommend corrective actions.
- Review and track capital improvement and maintenance planning to support long-term asset sustainability.
- Support the preparation and timely submission of Welfare Tax Exemption filings and related property compliance reports.
- Coordinate with Finance and Accounting to review operating budgets, research variances, and recommend adjustments.
- Assist in the development of dashboards and reports that provide clear insights into property, assets, and organizational performance.
- Participate in site inspections, budget reviews, and strategic planning meetings for property and asset initiatives.
- Ensure administrative functions (recordkeeping, filing, approvals, and communications) are standardized and timely across departments.
- Support contract management and vendor oversight to ensure accountability and performance standards are met.
- Assist with leadership communications, scheduling, and documentation for key meetings and reporting cycles.
Performance, Planning & Reporting – 15%
- Develop organizational performance reports and dashboards to measure efficiency and outcomes across departments.
- Prepare regular operational updates and strategic recommendations for the Executive Team and Board of Directors.
- Review operational data and budgets to identify performance trends and resource needs.
- Partner with Accounting and HR to improve coordination of data, reporting, and planning efforts.
- Ensure organizational reporting is consistent, accurate, and aligned with compliance and audit standards.
- Lead or support cross-functional projects that enhance Casa's operational and financial sustainability.
Leadership & Organizational Alignment – 15%
- Partner with the Executive and Senior Management Teams to translate strategic goals into operational actions and priorities.
- Promote a culture of accountability, collaboration, and continuous improvement throughout the organization.
- Strengthen communication and cooperation between departments to ensure unified organizational goals.
- Represent Casa Familiar in professional networks, collaborations, and community partnerships that focus on operational excellence.
- Contribute to Casa's readiness for new developments, programs, and growth opportunities through operational planning and optimization.
SKILLS, EXPERIENCE, AND EDUCATIONAL REQUIREMENTS:
- Minimum of 5 years of experience in operations, administration, or asset management within nonprofit, affordable housing, or property management environments.
- Demonstrated ability to lead process improvement or efficiency initiatives.
- Strong understanding of operational workflows, budgeting, and performance monitoring.
- Knowledge of accounting principles and property management preferred.
- Excellent organizational, analytical, and communication skills.
- Ability to work collaboratively across multiple departments and manage competing priorities.
- Experience developing metrics, process documentation, and reporting tools.
- Lean Six Sigma or continuous improvement certification preferred (or ability to obtain within 18 months).
- Bilingual (English/Spanish) preferred.
- Valid California driver's license and insured vehicle required.
- Outstanding analytical, verbal, and written communication skills.
- Computer Proficiency in Word, Excel, and Outlook.
- Ability to work with diverse cultures and aptitudes.
- Bilingual English/Spanish preferred.
- Valid California driver's license and regular availability of an insured vehicle for travel within the San Diego County area.
WORKING CONDITIONS
- Hybrid schedule with at least three (3) in-office days per week required.
- Primarily office-based, with occasional travel to Casa properties, community sites, and meetings.
ADDITIONAL INFORMATION:
This position requires sitting at a desk or workstation, walking, standing, climbing stairs, hearing, speaking, being able to lift up to 25 lb., and being able to drive to the bank and do other errands pertaining to organizational operations. A background check is required. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification document form upon hire. This is a full-time, exempt position with occasional work responsibilities on weekends and/or evenings depending on the season calendar.
