Under general supervision, performs specialized court operations support duties in jury administration; provides customer service to potential jurors; and performs related duties as assigned.

Distinguishing Characteristics

The Jury Services Assistant is a specialized class in Administrative Services that supports Court Operations support series. Incumbents perform a variety of clerical support activities required to summon, process and reimburse jurors. Incumbents support customers on the phone and may assist in a jury assembly room as needed.

Jury Services Assistants report to the Administrative Services Supervisor and may provide on-the-job training and work direction to less-experienced Jury Services Assistants.

Essential Functions
  • Responds to phone calls and emails from the public concerning jury duty responsibilities, excusals, postponement and payments; processes affidavits; excuses potential jurors and defers jury service as appropriate.
  • Receives, sorts and processes mail and faxes; updates records in the jury management system; generates reports, documents and activity printouts; scans, indexes and verifies documents.
  • Receives and examines jury summons for sufficiency of information, conformity, jurisdiction, completeness, timeliness, and required supporting documentation; returns unacceptable documents, noting discrepancies and reasons for rejection.
  • Validates juror attendance at completion of service; completes and processes payroll and reimbursement checks for jurors; issues checks to the requesting court for delivery to jurors; researches and corrects errors in checks and mails correct payments to jurors; reissues checks and vouchers when necessary.
  • Prepares and disseminates jury order to show cause (OSC) calendars for Court Districts.
  • May assist staff in jury assembly room for high-profile cases and for daily jury activities when needed; may assist at public information desk.
  • May assist trainer or supervisor in familiarizing new and transferred court employees with assigned duties, processes, procedures and documents; provides technical assistance and guidance in more complex and non-routine activities.
  • Performs other duties as assigned.
Minimum Qualifications

Graduation from high school or GED equivalent, and at least one (1) year of clerical support experience; or an equivalent combination of education, training, and experience. Completion of college-level coursework is highly desirable.

Licenses; Certificates; Special Requirements:

  • A valid California Class C driver's license and the ability to maintain insurability under the court's vehicle insurance program

Ability to:

  • Understand specialized information, including codes, rules, policies, procedures, forms and legal terms, and apply that knowledge in carrying out job assignments accurately and efficiently;
  • Perform official actions in accordance with applicable codes, rules and procedural requirements;
  • Read, explain and apply statutory and legal requirements applicable to jury service and empanelment;
  • Read, understand and explain jury documents and verify their completeness and accuracy in accordance with applicable procedures;
  • Review, codify and index a high volume of official documents quickly and accurately;
  • Operate a computer and use standard business and complex operations support software with a high degree of accuracy and efficiency;
  • Maintain confidentiality of court documents and records;
  • Set priorities and exercise independent judgment within areas of responsibility;
  • Represent the court effectively in dealings with the public;
  • Use tact and diplomacy when dealing with sensitive, complex and/or confidential issues and situations;
  • Establish and maintain effective working relationships with all those encountered in the course of work.

Selection Process

ONLINE TESTING

This recruitment includes an online assessment as part of the selection process. Candidates who meet the minimum qualifications will be invited to take the exam. Exam Duration: 2 hours.
