Role Overview:
We are hiring a full-time Office Manager to oversee administrative operations and day-to-day office functions in our busy headquarters in Bedford, MA (near Boston), where most of the employees work onsite daily. This role supports the daily operations of a growing medical device manufacturing environment. In this role, you will be a welcome point for visitors, manage supplies, oversee facilities, and own vendor relationships to ensure a smooth work environment. You will take a proactive approach to managing and continuously elevating our administrative operations, workplace experience, and overall efficiency in our office.
This role is a platform designed for an ambitious individual seeking to build knowledge, transferable skills, and cross-functional relationships. Success in this position may provide a foundation for advancement into other internal areas, such as Project Management, Executive Support, Regulatory Affairs, or HR/Talent Acquisition.
Note that this is an on-site position working during typical business hours Monday through Friday.
Responsibilities:
- Identify, design, implement, and continuously improve operational processes and systems to ensure a smooth, welcoming, and efficient operation of the corporate headquarters.
- Select, negotiate with, and manage office and building vendors, ensuring cost-effectiveness and service excellence.
- Plan and execute company events and activities promoting engagement, team building, and joy in the workplace.
- Manage purchasing of snacks, supplies, swag, equipment, and furniture.
- Oversee and optimize the cross-functional coordination, shipping, and tracking of demo products to field sales. Manage imports and other domestic/international packages for the G&A teams.
- Partner with HR to help manage and improve the onboarding activities for new hires.
- Maintain documentation necessary for facility-related compliance and vendor credentialing.
- Provide operational support for our satellite warehouse.
- Provide administrative support to the management team on ad hoc projects.
Qualifications:
- Bachelor's degree is preferred and 2+ years of relevant experience. We are considering candidates who may bring a wide range of experience, that may include but not limited to: Office Coordination, Recruiting, Retail Operations, Hospitality, and Administration.
- Excellent organizational, interpersonal, and time management skills.
- Demonstrated ability to prioritize tasks and take ownership in a fast-paced, dynamic environment.
- Strong intuition and situational awareness are critical. Must be a high-touch, flexible, proactive, and independent self-starter.
- Comfortable managing budgets related to events and office operations to support cost-effective decision making.
- Tech-savvy and proficient in the MS Office Suite (Outlook, Word, Excel, and PowerPoint)
- Experience with design software (e.g., Canva, Adobe) is a plus.
- Experience with project management tools (e.g., Monday, Asana) is a plus.
- Must be able to use own car during the workday for short trips such as to the nearby warehouse and catering vendors and have a valid drivers license.
- Must be able to lift 30 lbs.
