The Storekeeper performs skilled clerical, logistical, and manual duties related to the ordering, receiving, storing, issuing, and inventory control of materials, supplies, commodities, tools, and equipment. The position ensures accurate recordkeeping, timely distribution of goods, compliance with purchasing requirements, and the maintenance of an efficient, orderly storeroom environment. Work is performed with a commitment to customer service, accuracy, and operational efficiency.
Reporting Relationship
Works under the close to moderate supervision of the department manager or unit supervisor.
Minimum Qualifications
- High school diploma or GED.
- At least one (1) year of experience in storekeeping, inventory control, warehouse operations, or related clerical/logistical work.
- Basic knowledge of inventory procedures, receiving practices, and stock rotation.
Preferred Qualifications
- Two (2) or more years of storekeeping, warehouse, procurement, or inventory control experience in a school district, government agency, or similar setting.
- Experience using computerized inventory management or warehouse management systems (WMS).
- Knowledge of purchasing processes, requisition systems, and vendor coordination. Experience inspecting, receiving, and documenting materials for compliance with purchase orders.

The essential functions include, but are not limited to, the following fundamental duties:
Procurement & Ordering- Orders supplies, commodities, materials, tools, and equipment using requisitions, purchase releases, or approved procurement systems.
- Verifies availability of stock and lead times before placing orders.
- Coordinates with purchasing staff to ensure adherence to procurement policies and vendor contracts.
- Receives shipments, verifies quantities, inspects for damage or defects, and ensures compliance with purchase orders.
- Documents discrepancies, initiates claims, and processes returns of incorrect or defective merchandise.
- Ensures proper handling and storage of hazardous or sensitive materials in accordance with safety guidelines.
- Codes and catalogs incoming materials, supplies, and equipment following established classification systems.
- Determines items to stock, recommends stocking levels, and establishes re-order points to maintain optimal inventory.
- Conducts periodic, special, or perpetual physical inventories and reconciles system-to-floor variances.
- Monitors inventory trends and recommends changes to improve accuracy, efficiency, and cost control.
- Assist with maintaining product life cycle of storeroom inventory items.
- Issues equipment, tools, and supplies to staff as requested, ensuring proper documentation and accountability.
- Fills orders completely and accurately; communicates shortages, substitutions, or back-order information to staff.
- Assists departments in identifying appropriate materials or product alternatives.
- Responds courteously and promptly to staff inquiries, questions, and service needs.
- Maintains vendor product information, catalogs, pricing, and lead-time schedules.
- Meets with vendors to discuss new products, supply issues, delivery concerns, or service improvements.
- Prepares and maintains accurate records, reports, logs, and files related to purchasing, receiving, inventory, and distribution.
- Utilizes computerized inventory systems for data entry, tracking, and reporting.
- Ensures documentation complies with audit standards and departmental policies.
- Maintains a clean, safe, organized, and efficient storeroom environment.
- Ensures materials are stored securely and labeled clearly to facilitate fast retrieval.
- Operates forklifts, pallet jacks, hand trucks, or other equipment following safety standards (as applicable).
- Analyzes user comments and feedback to expand assistance, improve efficiency, and reduce costs.
- Suggests enhancements to purchasing, inventory, and distribution processes.
- Performs other related job duties as assigned.
Knowledge, Skills, and Abilities
- Working knowledge of equipment, supplies, commodities, materials, and tools used in district operations.
- Working knowledge of the applicable storekeeping policies and procedures relating to ordering, receiving, stocking, issuing and managing inventories.
- Working knowledge of the various vendors and their mode of operation.
- Working knowledge of the basic principles of inventory control, stock rotation, receiving, and material handling.
- Working knowledge of purchasing procedures, requisition systems, and vendor coordination.
- Working knowledge of recordkeeping practices, data entry methods, and standard safety procedures.
- Demonstrated skill in using inventory management systems, spreadsheets, and office software to track and document materials.
- Demonstrated skill in accurately receiving, inspecting, storing, issuing, and tracking materials and equipment.
- Skill in operating warehouse tools and material-handling equipment safely and efficiently.
- Demonstrated ability to deal effectively with users and vendors.
- Demonstrated ability to perform arithmetic calculations related to ordering, counting, and reconciling inventory.
- Ability to follow established procedures and maintain accurate, organized records.
- Ability to prioritize tasks, work independently, and adapt to changing workloads and timelines.
- Ability to communicate effectively with staff, supervisors, and vendors.
- Ability to maintain an organized, clean, and safe storeroom environment.
- Ability to establish and maintain positive working relationships with internal and external stakeholders

- Manual dexterity to operate computers, scanners, hand tools, and material-handling equipment.
- Ability to perform repetitive motions such as lifting, stocking, and moving items throughout the workday.
- Ability to operate material handling equipment and safely load/unload materials.
- Ability to maintain concentration and attention to detail while performing inventory, inspection, and documentation tasks.
- Ability to analyze inventory issues, interpret purchase orders, and apply problem-solving strategies.
- Ability to work under deadlines, manage shifting priorities, and handle interruptions professionally.
- Ability to exercise good judgment in resolving discrepancies and communicating with vendors or staff.
WORKING CONDITIONS
Work is performed primarily in a storeroom, warehouse, loading area, or similar environment. Exposure to varying temperatures depending on storage conditions and warehouse ventilation. Regular exposure to dust, packaging materials, cleaning supplies, and equipment noise. Frequent standing, walking, and material handling throughout the shift. May require flexible hours during peak operational periods, inventory counts, or urgent requests.

This is a 12 month position working 40 hours per week.
