Operations Specialist (Provider and School Support)

$58,000–$65,000 per year depending on experience(W-2)

About ThrivingCampus

ThrivingCampus helps college students connect with independent mental health providers. Universities across the U.S. license our platform so their students can access a verified directory of therapists who have openings. We also support over 30,000 providers who maintain profiles, update availability, and manage referrals. We are a small team of two founders hiring our first Operations Specialist to help run a reliable system for provider and school support.

About the Role

You will make sure providers and universities have a smooth experience. You will manage support requests, process license verification workflows, keep our directory accurate, and assist with renewal and account operations. At times you will handle support by email and also by phone or Zoom. You will follow clear processes and help improve them over time. You will also note patterns and propose product improvements or light automation where it makes sense.

What You Will Own

Provider operations

  • Review new signups in our verification dashboard
  • Look up licenses using state portals and mark profiles as verified or escalate when unclear
  • Monitor expiring or updated licenses and process them in queue

Provider support

  • Respond to provider questions using prepared templates and saved replies
  • Track common themes and suggest updates to help articles or templates

School support

  • Reply to school admin inquiries and renewal questions
  • Use templates to ensure timely and consistent communication
  • Flag any signs of churn risk or dissatisfaction right away

Operational hygiene

  • Keep help documentation updated as workflows evolve
  • Maintain clean support tagging for volume and theme tracking
  • Update renewal tracking fields after training

Product improvement

  • Identify opportunities for workflow improvements or simple automation
  • Share clear notes with the founders to inform the roadmap

Nice to Have

  • Familiarity with Help Scout or Zendesk, Google Sheets, Airtable, or simple internal dashboards
