ESSENTIAL DUTIES AND RESPONSIBILITIES

The Grants and Contract Administrator, under the general supervision of the SBCM, will manage the entire lifecycle of grants and contracts, including those from City, State, Federal, and private sources. This role is responsible for accurately renewing and uploading grants and contracts to Passport and other relevant portals, ensuring compliance with all grant and contract requirements, managing prequalification and compliance within appropriate grant systems and ensuring grants and contracts are audit-ready

Additionally, the Administrator will coordinate with internal departments and facilitating legal review of all contracts by RiseBoro's General Counsel to ensure the timely completion of contracts. The ideal candidate will possess strong project management skills, exceptional attention to detail, and the ability to collaborate effectively across teams.

Grant and Contract Management

  • Collaborate with the RFP committee on grant submissions
  • Execute grants & contracts as needed
  • Administer and maintain access level on all government agency portals
  • Provide oversight on the preparation of grants & contracts budgets
  • Maintain up-to-date knowledge of contract requirements and ensure compliance
  • Track and monitor all grant and contract deadlines, ensuring compliance with submission requirements.
  • Regularly review and update grant and contract portals to confirm all information is current, accurate, and compliant. Lead the process for completing all necessary documentation and submissions upon receipt of a grant or contract notification.
  • Collaborate with relevant departments (e.g., Finance, Programs, Legal) to ensure all contract requirements and deliverables are met.
  • Manage contract modifications, renewals, and closeouts, ensuring all required reporting and documentation are completed accurately.
  • Ensure prompt execution and processing of contracts, including proper filing and tracking.

Compliance and Reporting

  • Ensure that all grant and contract activities adhere to funder guidelines and RiseBoro policies.
  • Maintain accurate and organized records of all grants and contract documentation.
  • Prepare and distribute regular status reports for senior leadership on grant and contract progress, compliance issues, and key milestones.
  • Assist Finance department during internal and external audits for grants and contract related issues
  • Assist Senior Financial Analyst in preparation of fiscal year budget in accordance to grants and contract numbers and renewal
  • Work with the grant's accountants on monthly billing submission to funders

Internal Coordination and Communication

  • Serve as the central point of contact for all grant and contract-related questions and updates.
  • Coordinate with the Finance team to ensure a smooth handoff of finalized contracts for processing and tracking.
  • Facilitate meetings with key stakeholders to monitor progress, address challenges, and resolve issues related to contract execution.
  • Communicate key deadlines and compliance requirements to relevant teams to ensure alignment and accountability.
  • Performs additional duties & responsibilities related to finance as assigned/requested by the CFO

COMPETENCIES

  • Experience in program development encompassing project conceptualization, proposal and grant writing, contract preparation, funder liaison, and administrative and fiscal control to ensure compliance and optimal deliverable and fiscal performance is a plus

Education Experience

  • Bachelor's degree required
  • A minimum of five (5) years of grant and contract management experience within a non-profit environment required or human services environment.
  • Experienced in Microsoft Office Suite and grant management platforms, including Passport, the Statewide Financial System of New York (SFS), and the NYC Council Discretionary Funding Portal
