  • Monitor license and permit expiration dates and ensure timely renewals to avoid business interruption.
  • Coordinate with internal departments (store operations, leasing, real estate, legal, and finance) to confirm licensing and registration needs before store or Roboshop openings.
  • Select and manage third-party licensing service providers and liaise with internal teams to ensure timely application, renewal, and compliance with applicable regulatory requirements.
  • Maintain accurate records of business entity registrations and corporate filings, and liaise with corporate service providers as needed.

Insurance Coordination & Risk Documentation

  • Prepare and issue Certificates of Insurance (COIs) for store and Roboshop leases, ensuring timely renewal and archiving.
  • Select and manage insurance brokers and liaise with internal teams to ensure sufficient coverage and timely policy updates.
  • Oversee incident reporting, claim documentation, and insurance follow-ups for store locations.
  • Develop and implement related SOPs and track claims history across business lines.
  • Ensure company policies align with best practices in risk transfer and indemnity, including waiver of subrogation and third-party coverage handling (e.g., Constructions, logistics vendors, Roboshop operators).

Document Management & Compliance Support

  • Maintain organized records of all licensing, permitting, registration, and insurance documents.
  • Support internal audits or regulatory reviews by providing accurate and timely documentation.
  • Assist in the development of checklists and internal SOPs to ensure regulatory readiness for new locations.
  • Provide additional administrative and compliance documentation support for the legal team as needed, particularly in relation to operations and regulatory matters.

  • 3–5 years of experience in business licensing, permitting, insurance coordination, or related compliance/operations support, ideally within the retail industry.
  • Familiarity with North American business licensing frameworks (particularly U.S. states and Canadian provinces), and insurance documentation processes such as COIs and lease-based coverage requirements.
  • Demonstrated ability to coordinate with licensing agencies, insurance brokers, or other regulatory entities.
  • Highly organized, detail-oriented, and process-driven, with strong documentation and cross-functional communication skills.
  • Native or excellent command of English is required; proficiency in additional languages (e.g., Spanish, Chinese) is a plus.
